Responsibilities:


Performs a variety of clerical duties using the automated Fleet Management System (FMS) and other systems/software including entering pertinent data from work orders and invoices into the Fleet Management system; entering fluid sample information into the fluid analysis program and entering data regarding mounting/dismounting serialized parts such as engines or transmissions, etc.

Performs a variety of general clerical duties related to shop maintenance activities.

Checks time sheets for accuracy and enters information into the time management system.


Assists staff in completing various forms related to employee benefits; prepares Changes of Status and Staff Requisitions; assists garage staff in arranging first aid coverage and enrolling employees into training courses as required.


Liaises with Accounts Payable and Procurement Services to resolve Purchase Order, Purchase Requisition and invoice payment problems and reconciles accounts as necessary.

Contacts suppliers and outside agencies regarding appointments, repairs, etc. for revenue and non-revenue vehicles.

Types a variety of correspondence, reports, memos, minutes, etc. from rough drafts or verbal instructions.


Qualifications:

Requires completion of Grade 12 including courses in office procedures, word processing and spreadsheet software.

Requires one (1) year previous experience in the maintenance of a large number of manual and computerized files and records pertaining to vehicle maintenance, purchasing, inventory and stores.

A further period of up to six (6) months on the job is required to become familiar with various computerized systems, records, forms and procedures.

Recruitment Process:

An applicant will be required to demonstrate their suitability for this position by meeting the minimum level of qualifications and experience in order to be invited into the selection process.

A standard interview format will be used including general, scenario and behavioural descriptive interview questions.


Work Schedule:

37.5 hours per week.

This position works predominately on-site


Rate of Pay:

Salary $4,690 - $5,628 per month (Actual salary offered will be commensurate with education, experience and internal parity).
