SUMMARY


The
Executive Assistant is a crucial member of the organization, providing comprehensive administrative support within the office as well as to other senior managers of the division.

This role requires a highly organized, empathetic, and skilled professional who excels at teamwork, communication, and maintaining efficient operations. The Executive Assistant plays a key role in ensuring effective collaboration, productivity, and smooth communication within the organization.


How You Will Thrive With Us

  • Compose and prepare correspondence, memorandums, reports etc. for the General Manager as well as for other divisional Managers.
  • Conduct research and create financial and nonfinancial reports on various topics based on the needs of the General Manager and other divisional Managers and be able to perform basic analysis.
  • Coordinate extensive travel arrangements for the General Manager as well as for other divisional Managers including the planning and coordination of all meetings at destination points.
  • Plan and organize events that take place externally such as fundraisers, sporting tournaments, and appreciation events.
  • Identify opportunities for process improvements at the divisional level.
  • Act as the gatekeeper for internal and external contacts including vendors, colleagues, clients, and customers.
  • Manage meetings and appointments schedule for the General Manager and other divisional Managers, take minutes and issue them (as required), and ensure that all reports and other information are available as required for these meetings.
  • Organize conference calls upon request. As necessary, act on behalf of the General Manager to summarize matters and remind individuals of projects and due dates.
  • Respond to telephone and other inquiries and provide information to callers or route calls to appropriate individuals. Greet and acknowledge all visitors for the General Manager and ensure that appropriate meeting arrangements are in place.
  • Requisition new or replacement equipment and supplies as needed.
  • Prepare and submit expense reports for the General Manager.

Who Are You

Education & Experiences:


  • Experience in dealing with matters related to supporting the Management Team of a business unit would be an asset.

Skills & Qualifications:


  • Proficiency in Word, Excel and PowerPoint are required.
  • Excellent written and verbal communication skills with a keen eye for detail and accuracy. Incumbent must be able to communicate effectively to Company executives, managers and employees as well as to seniorlevel representatives of the Company's customers and suppliers, the business and financial community and government and industry representatives.
  • Exceptional interpersonal skills, with a high level of empathy and the ability to build strong working relationships.
  • Strong organizational and time management abilities, with the capacity to prioritize and handle multiple tasks effectively.
  • Discretion and confidentiality in handling sensitive information.
  • Flexibility to adapt to changing priorities and work in a fastpaced environment.
