    Who We Are

    The Dean's Office administrative support team provides reception, confidential secretarial and administrative services to support the functioning of the office.

    About the Role

    Reporting to the Director, Faculty Affairs, the Administrative Assistant provides senior, confidential secretarial and administrative services to the Dean and Associate Deans of the Faculty of Arts & Social Sciences (FASS). Composes correspondence and reports; screens in-person, email, and telephone inquiries; coordinates expense reports and credit card claims; maintains schedules; and completes various administrative requests for the Dean, the Associate Deans, and the supervisor. Serves as recording secretary and assistant to various committees chaired by the Dean and Associate Deans. Monitors receipt of documentation related to promotion, salary review, and faculty appointments and liaises with departments regarding same.

    Qualifications

    High school graduation and one years of post-secondary education or formal program equivalent including courses or training in secretarial practices. 3 years of experience. An equivalent combination of formal education, certificate/program of study ad experience is acceptable.

    • Excellent knowledge of office procedures
    • Excellent organizational, interpersonal, and communication (verbal and written) skills.
    • Ability to use word processing, spreadsheet, and database applications (i.e., Word, Excel, FileMaker Pro) at an intermediate level.
    • Ability to complete a high volume of work with frequent interruptions.
    • Ability to compose correspondence, reports, and record meeting minutes.
