What we are looking for:

***In this position you will interact with patients and staff, family physicians, family physicians' office teams, surgeons, surgeon office teams, and staff in various other departments.

In this role you will be responsible for:

  • Contacting patients and families for scheduling appointments and confirming appointments
  • Scheduling assessment intake appointments in the Total Joint Assessment Centre using Meditech and Novari cloud based portal
  • Maintaining and updating the database of assessment intake centre
  • Entering orders and verifying appropriate assessment forms are available.
  • Wait time data entry and recording
  • Entering visit statistics and outcome measures
  • Chart preparation
  • Greeting and assisting patients and their families
  • Maintaining and updating clinic specific forms
  • Ordering supplies and maintaining filing system both electronic and paper
  • Typing and distributing general correspondence
  • Performing clerical duties and scheduling to meet the Clinic's needs
  • Maintenance of surgeon, patient, and staff schedule
  • Oversee and circulate the monthly clinic schedule.
  • Other duties as assigned

What you bring to the role:

  • Surgical Outpatient Hospital Clinic Experience required
  • Medical Administration Certificate or equivalent
  • Medical Terminology required
years relevant experience within the past five years

  • Registration and patient booking experience required
  • Experience with scheduling in Meditech and OR Manager software is a definite asset
  • Previous related unit secretary experience in a hospital setting is required, preferably in a busy outpatient clinic environment
  • Demonstrated excellent knowledge of medical terminology
  • Proven keyboarding skills.
  • Ability to work effectively both independently and as a team member is essential
  • Strong interpersonal skills and a proven ability to function in a cooperative and facilitative manner with the public and staff members
  • Proven ability to prioritize multiple demands and work efficiently in a fastpaced clinic environment
  • Demonstrated excellent communication, organizational, prioritization and problemsolving skills
  • Demonstrated excellent customer service skills

Demonstrated good attendance record with the ability to maintain this same standard

  • Demonstrates a commitment to a healthy and safe workplace for self and others (staff, patients, families, etc.) by taking all reasonable precautions and working in compliance with hospital related policies, health and safety legislation and best practices and completing relevant mandatory education as required.
