What you will be doing:
- Greets visitors by welcoming and directing them appropriately.
- Answers and forwards incoming calls, providing basic information as needed.
- Administrative real estate management work such as, posting ads for apartment rentals, filing out purchase orders and filing of documents.
- Working closely with the team and Directors
- Preparing spreadsheets for accounts payable staff.
- Sorting, distributing incoming mail, packages and mailing documents and packages.
- Responsible for tracking and ordering all office supplies.
- Printing, scanning and photocopying documents.
- Contributes to team effort by accomplishing related tasks as needed.
- Ordering appliances for apartments units
- Sending and receiving correspondence and packages by registered mail and/or courier
- Keeps a clean reception area by complying with procedures, rules, and regulations.
What You Will Bring to The Role
- Qualifications_
- Proven experience as an administrative assistant or office admin assistant
- Knowledge of office management systems and procedures
- Strong written and verbal communication skills (English)
- Functional verbal skills (French)
- Excellent organizational skills and the ability to prioritize work and multitasking
- Good knowledge of Microsoft Office / Outlook
- Professionalism
- Ability to work well in a team environment
- Education and
Experience Requirements:
_
- college degree or secretarial certificate is an asset
- Familiarity with phone systems
- Minimum of 2 years' experience in a similar position
- Real estate experience is an asset
