Qualifications:

Essential:


  • Extensive experience providing administrative and secretarial support to executive and senior level staff.
  • Extensive experience with scheduling meetings, coordinating appointments and making travel arrangements.
  • Experience managing correspondence and maintaining filing and document tracking systems such as Activities and Issues Management System (AIMS) or Shared Information Management System (SIMS).
  • Strong problem solving, analytical and decision making skills.
  • Excellent interpersonal skills with the ability to foster strong working relationships with staff, all levels of government and stakeholders.
  • Strong verbal communication skills with the ability to effectively communicate complex information to internal and external clients.
  • Excellent written communication skills with experience drafting, formatting, editing and proofreading a variety of highlevel documentation.
  • Experience working with highly sensitive information/material in a confidential and professional manner.
  • Strong political acumen to manage conflicting priorities of various stakeholders with diplomacy and tact.
  • Strong organizational and time management skills, including the ability to prioritize work to meet strict deadlines.
  • Effective leadership skills with the ability to provide direction, delegate and coordinate work in a highvolume, fastpaced environment.
  • Extensive experience working with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint and Teams) or a similar software package.
  • Experience working with a variety of authority seeking documents such as Treasury Board Submissions, Cabinet Submissions, OrderinCouncils.

Duties:


Reporting to the Deputy Minister, this position is responsible for providing professional and confidential administrative support to senior leadership and overall coordination of the Deputy Minister's office.

Working independently, the incumbent will be responsible for the day-to-day operations of the office.

Duties include liaising with internal and external stakeholders on behalf of senior leadership; coordinating meetings, events, announcements and travel; maintaining records; preparing reports; drafting correspondence and authority seeking documents; researching information and managing sensitive and confidential information.

The incumbent is accountable for all office management responsibilities including monitoring workflow, review and process of authority seeking documents, invoices, record schedules and various reports submitted on behalf of the Deputy Minister.
