Job description:
Position Purpose summary:
The Administrative Assistant - Business provides administrative support to the Business Manager and facilitates the processing of tasks related to the administrative functions, ensuring that all processes meet or exceed The Salvation Army's standards and reporting requirements.
Accountabilities:
Administrative Support
- Assist with maintaining and updating internal job board postings
- Assist Business Manager with updating ministry unit specific policies and procedures as required
- Assist with maintaining, filing, and archiving as necessary, all personnel hard and digital files as required
- Assist with planning and implementation of special employee engagement events as required
- Assist with maintaining and updating employee information and records as required
- Update necessary form letters when required
- Take minutes, photocopy, fax, assist in preparing materials for EMAC meetings, OH&S meetings, department meetings, union meetings, bargaining and grievance materials preparation when required
- Assist with unionrelated issues (complaints/grievances/fact finding, etc.) as requested
- Assist with compiling and organizing supporting documentation for audit purposes
- All other administrative duties as required
Training and Orientation
- Assist with scheduling and facilitation of New Hire Orientation sessions at Edmonton Centre of Hope sites
- Assist with sourcing, arranging and scheduling inhouse training for frontline program staff as required by external funders and CAC accreditation requirements.
- Assist with monitoring and recording staff training and employee critical dates to ensure compliance with required standards.
Health & Safety
- Assist with staff compliance with health and safety standards
Qualifications and Education requirements:

Education, Qualifications and Certifications:
- Completion of a formal postSecondary certificate or diploma in Business or Office Administration or its equivalent
- A combination of training and experience in Administration may be considered
Experience and Skilled Knowledge Requirements:
- One to three years' experience in a professional office setting in an administrative capacity
- Experience working in a unionized environment is an asset
- Must be proficient in MS Word, Excel, MS Publisher, PowerPoint
- Experience working within a social services environment is considered an asset
Skills and Capabilities:
- Sound understanding of The Salvation Army, its mission and its principles, and a willingness to adhere to them
- Ability to maintain confidentiality in all matters pertaining to clients and coworkers of The Salvation Army Edmonton Centre of Hope
- Must have excellent oral and written English communication and interpersonal skills
- Flexible and be able to adapt and provide a wide range of support activities in a fastpaced environment with strong prioritizing and organizing skills
- Understanding of and compliance with legislative knowledge of Employment Labor Standards, Human Rights Act and Collective Agreements a strong asset
- Must display sound judgement, strong attention to detail and willingness to take initiative
- Ability to create a working climate that is positive, mutually supportive, respectful and nonjudgemental
