This position is in office, with hours of work of 9 am to 5 pm Monday to Friday.

Major Responsibilities

  • Supervises mailroom, reception/hospitality, office services team to ensure that daily tasks are completed and delivered in a timely and professional manner. Through regular collaborative meetings, continue to grow the positive energy of the service team.
  • Oversees the office maintenance and primary point of contact for facilities, including: premises, furniture and equipment repairs and maintenance as well as the coordination of office moves.
  • Oversees the Hospitality team to ensure the Conference Centre operations meet Firm expectations, including: food and beverage, internal/external client experience, reception and administrative support services.
  • Working with the Senior Office Manager to oversee office administration and service team staffing including monthly invoices, department budgeting, spearhead the Health and Safety team, records management system and team vacation management.
  • Strives to uphold the firms Hospitality and Service standards to continue growth and excellence in service through regular feedback from internal/external shareholders regarding events and/or experience(s) in our office.
  • Represents the Ottawa Office and ensures continuous engagement with national departments (e.g. Mailroom, Hospitality, Office Services, etc.) to seek out best practices, collaborate on solutions, and support the "one firm" values of Osler.
  • Coordinates special projects as required.

Education and Experience
Community College diploma and at least 3 years related facilities experience including some supervisory. An equivalent combination of education, training and experience may be acceptable. In addition, a Certified Health and Safety Member certificate, or basic Human Resource training certificate would be an asset.
