Responsibilities:


The Program Assistant will be responsible for supporting the administration of specialized research training programs within the Schulich School of Medicine & Dentistry's Research Office, which includes the MD/PhD Program, Clinician Investigator Program, Resident Research Career Development Program and the Summer Research Training Program.

The role will serve as a point of contact for applicants and current participants and provide guidance, information and advice to departments, faculty, and staff regarding programs, events and academic processes.

The role will also contribute to the development of administrative processes, implement revised policies and procedures, and ensures adherence to program and accreditation standards.


Qualifications:


  • Education:
  • 3 year community college diploma in Business Management/Administration

Experience:

  • 5 years' experience providing administrative support to senior leaders and coordination in a higher education institution
  • Experience with implementing and interpreting academic policies and procedures
  • Experience coordinating logistics for specialized programs, services and events

Knowledge, Skills & Abilities:

  • Verbal communication skills to clearly express ideas in an objective manner, and adapt communication style to suit the situation and audience
  • Demonstrated ability take initiative, to work independently and follow through on work assignments
  • Competency to maintain confidentiality and treat sensitive information with discretion
  • Ability to establish rapport with people from diverse backgrounds
  • Ability to maintain a positive, outgoing attitude with genuine customer service orientation
  • Ability to process information with a high degree of accuracy, and follow formal business practices with high attention to detail
  • Ability to understand, interpret, and effectively communicate University guidelines, policies and practices to key stakeholders
  • Adapts readily and effectively to changing priorities and demands
  • Ability to interact professionally with students, staff, faculty, and other members of the University community
  • Strong mathematical and analytical skills to complete accurate calculations
