Responsibilities:


SUMMARY:


Administers the organization and accuracy of the in-house document control process for design information, engineering records, and technical reference material.

Liaises with outside reprographics for all outside printing. Administers the long-term storage process of documents. Assists the Technical Documentation Clerk with the Illustrated Parts Catalogue (IPC). Handles various clerical and administrative duties.

Performs related duties as assigned, such being items of a minor nature that do not affect the value of the job.


MAJOR RESPONSIBILITIES:


Administers the organization and accuracy of the in-house document control process for design information, engineering records, and technical reference material.

by:
Maintaining structure and format of electronic data directories;
Ensuring all documents are correctly labelled and stored;
Renaming existing electronic copy files to established document naming standard;
Converting electronic files to PDF format when required;
Uploading PDF files to the electronic technical library with the most updated version, superseding e-copy files and hardcopies, as applicable;
Administering superseded drawings for efficient retrieval;
Maintaining records of transmittals;
Photocopying, binding and filing manuals and other documents;
Copying and digitizing of electronic media using established methodology;

Distributing and filing documents (including:
drawing blue prints, binders, files, etc.) into appropriate category;
Ensuring external document requests have correct approvals prior to sending out drawings, using the existing transmittal sheet signoff process;
Providing assistance to document requestors (internal/external);
Researching and sourcing materials requested by employees; preparing E-requisitions as required;
Maintaining drawing lists and following up with vendors to ensure receipt of drawings;
Maintaining library equipment and arranging repairs;
Auditing documents for version control and maintaining quality control
Classifying and storing incoming drawings for major capital projects (new car fleet, Evergreen Line etc.)
Establishing, administering, and maintaining the information for the Technical Library database.
Assisting Maintenance and Engineering staff in locating legacy drawings for existing fleet and infrastructure

Liaises with outside reprographics for all outside printing, including:
Coordinating, accommodating and sending out scanning and printing request as approved;
Coordinating pricing and quotations and providing feedback to requestor;
Assisting with reviewing invoices for outside printing and forwarding for approval.
Maintaining and updating monthly printing and scanning expenses

Administers the long-term storage process by:
Receiving records for long-term storage and arranging and sending off-site;
Arranging storage and retrieval of documents from offsite;
Providing assistance to employees on records retention policies and procedures;
Arranging for removal of records for destruction in compliance with BCRTC requirements.

Assists the Technical Documentation Clerk with the Illustrated Parts Catalogue (IPC) by:
Monitoring internal and received documents that may affect the


IPC:
if appropriate then initiating the change notification process;
Monitoring internal engineering documents (TCIs, TER's, TSR's, Drawings etc.) for errors/omissions (and returning to source for correction where needed).

Handles various clerical and administrative duties, such as:
Renewing of annual magazine subscriptions, updating the circulation list once received, providing library material circulation of interest to employees;
Posting up various announcements (i.e. job vacancies, announcements, safety information);
