ABOUT THE JOB:


The HR Administrative Asisstant ensures smooth and efficient delivery of HR processes by supporting administration and operations in the areas of; staffing, performance administration, absence administration, calendar management, minute taking, developing templates and reports for the department, mandatory training, creating and safeguarding employee files, documentation, and being the first point of contact for all administrative tasks throughout the life cycle of the employee's employment.


DUTIES AND RESPONSIBILITIES:


Responsibilities include but are not limited to:

  • Assist with day-to-day operations of the HR administrative functions and duties.
  • Ensure employee and organization documents are uploaded into Payworks and Bamboo HR software system.
  • Prepare and maintain employee electronic files.
  • Develop, update, and maintain the departments Job Description's database.
  • Develop, update, and maintain HR templates and service process documentation.
  • Respond to employees' general queries about HRrelated issues.
  • Assist in preparing all documentation and administration changes relating to personnel activities (staffing, recruiting, training, grievances, performance, evaluations etc.) are completed and accurately processed throughout the life cycle of the employment relationship.
  • Produce, update, and maintain regular HR reports (seniority, anniversary, and new hire reports)
  • Liaise with the Human Resources, Payroll and Communications teams to provide relevant personnel documentation and updates (new hire, leave and termination forms or announcements)
  • Coordinate HR activities (HR/LR meetings, training, surveys etc.) and take minutes where needed.
  • Manage the departments calendar for HR/LR activities and deliverables.
  • Perform other HR/LR duties as required.

QUALIFICATIONS:


  • Completion of a postsecondary degree/diploma in Human Resources Management and/or equivalent experience.
  • 13 years directly related experience.
  • Knowledge of HR processes, labor law and a reasonable exposure to HR practices.
  • Welldeveloped administrative/management skills to organize, and administer human resources functions, with an attention to detail.
  • Excellent organizational and time management skills that reflect the ability to perform and prioritize multiple tasks.
  • Must be able to demonstrate good interpersonal relationship skills.
  • Research abilities.
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands.
  • Professional written and communication skills with proven ability to communicate effectively with staff, and benefit providers.
  • Excellent skills in Word, Excel, PowerPoint, Adobe, and electronic filing systems.
  • Some experience working in a HR management and Payroll software is required.
  • Ability to work effectively both independently and as part of a team.
  • Demonstrated ability to meet deadlines in a fastpaced environment.
  • Previous work in unionized nonprofit organizations is an asset.
  • Open to receive direction and feedback.

WORKING CONDITIONS:


  • The compensation range is between $26.85$38.60 per hour, plus a competitive benefits package.
  • This position is located at CMHA BC Division offices in downtown Vancouver.
  • As part of the hybrid work plan this role is required to work from the office a minimum of 2 days/week.
  • This is a parttime position with a usual workweek schedule of 30 hours.
  • Most work is accomplished during usual 8:30 am to 4:30 pm business hours. Any overtime must be preapproved of by the Manager.
  • The Human Resources Administrative Assistant is an excluded role, the role is at Range 5 of the compensation reference plan of Health Employers Association of BC.
