"General Accountability:
- Reporting to the Supervisor, Operations Administration or designate, the incumbent is responsible for providing general administrative and clerical support services for the Garage. This includes processing payroll for garage employees; monitoring and ordering fuel, lubricants, coolant, and other garage and office supplies; coordinating contract services at the garage; performing a variety of general office services duties for the Garage and acting as a backup with bus inspection scheduling, as required.
- The incumbent will be assigned to one City Garage and may be required to travel and perform essential duties and provide coverage at another garage location as required
Key Job Functions:
- Providing general administrative and clerical support for garage operations at the assigned location
- Processing payroll for the garage's staff and hourlyrated employees, maintaining associated records for employee vacation entitlements, birthday/floater days, leaves of absence, overtime, etc.
- Reconciling labour reports against various records and resolving discrepancies
- Preparing summary attendancerelated reports as required
- Monitoring, ordering and/or receiving supplies and services for the garage (i.e. fuel, engine coolant, lubricants and other garage and office supplies)
- Setting up and maintaining various central files and computerized databases relating to the garage's work activities and performing a variety of general office services duties for the garage
- Maintaining and updating several departmental databases
- Scheduling bus inspection crew work, vehicle servicing, road calls, etc. to coincide with other repair/maintenance work to ensure operational efficiencies
- Assisting with the coordination of rewards and recognition events for the work location, such as Zero Injury Hours Milestones, Employee Long Service Awards, Safe Worker and Employee Retirements
- May be required to perform essential duties at another Garage location as required
- Responsible for treating passengers and/or employees with respect and dignity and ensuring the needs of passengers or employees with disabilities are accommodated and/or addressed in accordance with the Ontario Human Rights Code and Related Orders so that they can fully benefit from the TTC as a serviceprovider and an employer
Skills:
- Plan and organize activities / projects to meet section and organizational goals
- Create, document, and manage information and records
- Maintain documentation and historical records
Education and Experience:
- Completion of secondary school education or a combination of education, training and experience deemed to be equivalent combined with a few years of related work experience.
- Postsecondary education in a relevant discipline, is an asset
Additional Requirements:
- Sound knowledge of modern office methods, procedures, practices and equipment
- Good interpersonal and oral and written communication skills
- Good organizational skills with the ability to meet required deadlines
- Knowledge of garage procedures and terminology would be beneficial
- Requires a valid, nonprobationary, Province of Ontario class "G" driver's license to drive to different Garages
- Must have or rapidly acquire a comprehensive knowledge of the Ontario Human Rights Code and Related Orders including disability accommodation and accessibility requirements pertaining to passengers and employees.
The TTC's policy prohibits relatives of current TTC employees from being hired, assigned, transferred or promoted into positions, where there is a conflict of interest due to a relationship.
