The Opportunity


This is a full-time position reporting to the Manager, Administration & Customer Relations and is scheduled Monday - Friday 8:00AM to 5:00PM.


Responsibilities:


  • Provide frontdesk coverage by managing a busy, multiline phone system, greeting customers as they enter the office, managing incoming/outgoing mail and shipments, and maintaining an organized, clean office environment
  • In support of the leadership team, plan, organize and schedule meetings in the office, offsite and or virtually
  • Coordinate registration of training sessions as required
  • Maintain filing system, contact database and employee list
  • Operate standard office equipment on a regular basis and provide basic support to team members as required when issues arise
  • Keep detailed and accurate records of customer requests, field crews, contractors and other key partners
  • Take inventory of office supplies and restock/reorder as needed
  • Monitor online tracking of 1st Electric's specialty services such as solar and generators
  • Create, submit, track and finalize all warranty claims for generators and solar systems
  • Provide support to estimators with the completion and submission of required documentation for solar projects
  • Lend administrative support to accounting department
  • Provide backup support to the scheduler during periods of vacation or other absences
  • Work collaboratively with management, office colleagues and field crews
  • Other duties as assigned

Required qualifications and experience:

  • College diploma in office/business administration
  • 7+ years of proven administrative experience which includes supporting a management team
  • Experience developing internal processes and filing systems
*Personal vehicle required, as there is no public transportation access along the job route.
