About the Job


We are looking for a People Operations Coordinator who will be responsible for providing the best in class support and guidance to our people, and will be reporting directly to the VP, People Operations.

This is a fundamental role within the People Operations Team that is central to ensuring operational efficiency and effectiveness.

It supports the entire employee life cycle and day-to-day operations including but not limited to; schedule management and documentation, HRIS (BambooHR) database maintenance, management and reporting, recruitment administration and contract support, immigration processes, etc.

This role ultimately serves as a partner to the organization, ensuring business needs can be met through strong operational and administrative support and guidance in the People Operations function.


The impact you'll have

  • Possesses a comprehensive understanding of Vendasta's People Operations Frameworks and Philosophies to ensure they can provide timely and accurate support to the business.
  • Knowledge of HR programs, policy and compliance
  • Create and run regular reporting and presentations on People Operations metrics and data as required.
  • Engage in ad hoc HR projects and employee requests.
  • Processes immigration paperwork
  • HRIS Management_
  • Create, maintain and manage all record management (timeoff process for all employee vacation, sick, and flex time, etc.) for new and existing employees across various databases including; BambooHR, OfficeVibe, etc.
  • Offboard employees at the end of their employment.
  • Assist Recruitment Administrator with onboarding new employees through the HRIS.
  • Payroll and Compensation_
  • Ensures all data is up to date and correct for the processing of biweekly payroll.
  • Assist with preparation of employee documents including; employment offers and contracts, merit increases, letters of employment, and employee options letters.
  • Administer the employee bonus program
  • Process and Policy_
  • Participate in and facilitate various Occupational Health and Safety initiatives.
  • Participate in company committees such as employee wellness, social, DEI, etc.

  • 3+ years experience in an administrative role; HR administration considered a strong asset
  • Passionate & knowledgeable in employment standards and regulations.
  • Understands how to build and run reporting from HR systems/databases.
  • Strong organizational, planning and project management skills.
  • Quickly adapts to changes and new and shifting priorities.
  • Takes ownership and demonstrates accountability in work by following through on commitments and key responsibilities.
  • Strong team player but also work effectively independently
  • Great innovative/creative mentality with the ability to identify areas of improvement and create solutions that improve processes and/or efficiency
  • Creative problem solver and solution oriented
  • Proactive/takes initiative in day to day responsibilities and projects.
  • Demonstrates a strong work ethic and has a clear bias for action.
  • Demonstrates listening skills in the ability to communicate and cooperate on a crossfunctional level with all stakeholders.
  • Builds the right relationships to drive results within the role and for the business.
  • Is open to feedback, criticism and others' ideas and solutions.
  • A Degree in human resources, business certification or equivalent experience is always considered.
