Job Summary

Reporting to the Marketing and Box Office Coordinator, the Marketing & Box Office
Assistant provides a range of administrative services that supports the marketing, communications, public relations, and promotion of performances and other theatre activities/events, including development, education and outreach programs.


Key Duties and Responsibilities

  • Provide general administrative assistance to the Marketing and Box Office Coordinator and the Marketing Department in the preparation and implementation of programs and events to support marketing goals and objectives. This includes, but not limited to, the preparation and distribution of all collateral including, publications, documentation, reports, worksheets, announcements, correspondence and proposals for both internal and external clients. Planning and implementation of promotions, community outreach, research, ticket sales analysis and processing of invoices.
  • Work with the coordinator and the marketing agency team to develop/research information for, review and finalize all marketing materials, ads, and collaterals.

This includes but not limited to:
Annual programs brochures, A&E publications, Program inserts, Gala and show programs, print and digital advertising. Manage the distribution of season brochures and A&E publications to local community centres and libraries.

Assist the coordinator and marketing agency with the process in the development of digital creative content, messaging, including plan, review, approvals, and campaign activations.


  • Provide administrative support and attendance for all theatrerelated and public relations related events, including, but not limited to, the annual Season Launch, Annual Discovery Gala, and other assigned events. Prepare all preshow signage and PowerPoint presentations.
  • Assist with input of data to support the daily, monthly, quarterly, yearly metrics reporting. This includes working with the Theatre's CRM system, AudienceView, as well as, maintaining and updating databases including, Media, PR list, Markham Performing Arts Awards, Sponsorship/partnership and donations.
  • Assist in the Box office operation and CRMticketing system, including but not limited to input to build PES shows, rental shows, sales promotions, reporting, and inventory management.
  • Monitor and update content information on Flato Markham Theatre website (on the AudienceView platform) and assist with social media channels and eblasts.
  • Assist in PR content development, including but not limited to, the development and distribution of press releases. Followup with Marketing Agency to ensure that content and articles are published and archived where appropriate.
  • Other duties as assigned.

Minimum Education and Experience Required

  • Minimum of three years' experience in a related field and college/university degree/diploma preferably in communications, marketing, event planning or a related discipline.
  • Superior computer skills, excels at MailChimp or related software, proficiency in Photoshop/InDesign or comparable software, fully comfortable and can work independently with various social media platforms.
  • Must have excellent communication with a proven ability to multitask.
  • Must be comfortable on the phone making cold calls and following up with media.
  • Comfortable with AudienceView, or related CRM system, as well as the ability to learn new systems quickly.
  • Ability to work various shifts including evenings and weekends.
