The Inflight Administrator is responsible for working under the Manager, Inflight and is responsible for assisting the department with all administrative tasks.

This role will be responsible for multiple system, process, and document administration and must ensure that accuracy and amendments are conducted in a timely manner.


Work location:
The role is eligible for remote work within Canada under Swoop's Flexible Workplace Policy.

Hours:
This role will be required to work standard 40-hours per week.


Responsibilities:


  • Primary administrator for Inflight COMPLY 365. Maintaining collections, creating and posting documents, communications and folders;
  • Maintaining the FAEL (Flight Attendant Experience List) and MSL (Master Seniority List);
  • Create, draft, review and send/receive Inflight communications;
  • Import and action Inflight Operational Incident Hazard Reports (IHR's);
  • Create and manage trackers, spreadsheets and other administrative documents;
  • Assist where required with onboarding and offboarding of crews;
  • Be knowledgeable of crew support coordinator functions and act as secondary in their absence;
  • Support crew base leadership, where required, with office administration;
  • Regular travel will be required to crew bases and Swoop campus in Calgary;
  • Other tasks as assigned by the Manager, Inflight or Manager, Cabin Safety.
Qualifications & Experience

  • Fluency in English required; French an asset;
  • Minimum 1 year previous airline experience is an asset;
  • Postsecondary education is preferred, however a combination of training and experience will be considered;
  • Ability to manage multiple tasks, meet work schedules and deadlines in a fastpaced and everchanging environment;
  • Intermediate to advanced proficiency in Office 365, with focus on Excel, PowerPoint, SharePoint;
  • Intermediate to advanced proficiency in Adobe and Adobe editor;
  • Intermediate to advanced proficiency and understanding of cloudbased storage systems;
  • Strong communication skills both written and verbal;
  • Impeccable attention to detail;
  • Experience in drafting communications and the ability to proofread and perform QA on communications;
  • Previous experience in digital administration is preferred;
  • Must be willing to travel as required;
  • Must have a valid Canadian Passport. If you do not have a Canadian Passport, you must have a valid Canadian Permanent Resident card to be eligible for employment.
