Description
Nature of the Work:
- The principal and customary work of the employee in this employment class consists in performing a variety of administrative duties in accordance with established methods and procedures
Responsibilities:
- Greet students, faculty and the public efficiently and courteously
- Process grade changes, including incompletes due to authorized absences
- Ensure the accuracy of the Records system when updating a student's record
- Process unofficial and official transcript requests submitted at the counter, online or through the Registrar's office
- Process document requests for current and former students as well as employers
- Participate in the admission processes and filing/scanning of documents
- Send corrected copy of transcript to the student whenever a change is made to the student record
- Participate in the mailing of transcripts and other Records mailings
- Participate in filing and weeding of student files and other Records files
- Collect necessary monies and verify accuracy of same.
- Issue an assortment of letters for fulltime/parttime attendance and status, diploma received, as well as other letters and written requests for students
- Respond to counter queries and where necessary direct requests to the appropriate individual
- Respond to telephone calls and when necessary direct them to the appropriate individual
- Take messages and forwards them to the appropriate individuals
- Sort and distribute mail for the Registrar's Office and to respond to specific inquiries, complete forms, etc.
- Participate in the Course Change, Course Drop and College Withdrawal processes
- Perform other related tasks
Requirements:
- Qualifications:
- To have a diploma of vocational studies (DEP) in an appropriate specialty or a secondary school diploma (DES) or have a diploma or an attestation of studies which is recognized as an equivalent by the competent authority.
- Conditions:
- Excellent customer service skills
- Advanced oral and written English communication skills (testing may be required)
- Intermediate conversational French and basic written French skills (testing may be required)
- Basic level Microsoft Word skills (testing may be required)
- Demonstrated attention to detail and good organization skills
- Proven ability to work as a team player, exercising both judgment and initiative
