SCOPE

Reporting to the Manager, Faculty Information Systems, the incumbent is responsible for coordinating the workflow for hiring and career path milestones of academic employees whose employment is not managed in the HRIS or FRIS systems, in accordance with the relevant Collective Agreements and other University policies and in collaboration with the Principal Investigators and Manager, Faculty Information Systems.


PRIMARY RESPONSIBILITIES

  • Evaluate Notice of Hire forms for completeness and determine and execute the appropriate course of action to obtain any missing information
  • Manage the data relating to employees ensuring that it is accurately entered and maintained on the Faculty Resource Information System (FRIS) and other administrative data systems including: activating employees, processing documents and notices, responding to data requests, assisting in devising and implementing data input and maintenance strategies, performing data cleanup, confirming salary payments match issued contracts; and contributing to efforts to make continual improvements in the Human Resources and other administrative data systems.
  • Advise and respond to queries from Principal Investigators, administrators, and current and former employees regarding salary payments, procedures and deadlines, work permits, benefits and services, etc. Prepare letters and complete forms concerning employment confirmation, attestations, salary and employment histories, etc.
  • Maintain personnel files and other documentation of personnel activities.
  • Compile, analyze and distribute reports, lists, and statistics regarding academic employees. Respond to specific requests for information and collaborate on special projects in the Faculty Development and Inclusion team.
  • Assist other office staff members with their work during peak periods.
  • Perform relevant tasks and projects as assigned by the Manager, Faculty Information Systems.

REQUIREMENTS

  • Diploma of Collegial Studies (three year technical DEC) and two to four years of related work experience.
  • Good knowledge (Level 4) of spoken and written English in order to compose, proofread correspondence, and to advise staff and students about university policies; basic knowledge (Level 3) of spoken French in order to answer inquires for routine to complex information from students, employees and members of the public. Good French reading comprehension.
  • Excellent interpersonal, listening, and problemsolving and customerservice skills.
  • Ability to work as part of a team and independently.
  • Knowledge of SIS,FRIS, and SAP are assets.
  • Demonstrated proactive attitude to follow up on and conclude outstanding issues satisfactorily.
  • Discretion, sensitivity, and tact. Demonstrate understanding of confidentiality.
  • Ability to multitask, complete projects and meet strict deadlines.
  • Keen attention to details.
