Status:
Permanent Full-Time (40 Hours/Week)


Position Reports to:
Housing Manager/Program Director

Purpose of Position:
Under the direct supervision of the Housing Manager, the Housing Assistant is responsible for general administrative duties for rent geared to income Housing Program


Department:
Housing Program


Qualifications:
This position requires a professional individual with a minimum of 4 years of experience in an administrative position. Preference will be given to experience in social services or human services organizations. An understanding of the issues of homelessness and vulnerable populations is an asset


Other Requirements:

  • Applicable education such as a Business Diploma from a recognized college
  • Successful completion of a Canadian Police Information Centre security screening (CPIC)
  • Driver's License with own vehicle/insurance
  • Current First Aid/CPR and Crisis Prevention Intervention (CPI) certification
  • Technical proficiency with office equipment and systems
  • Demonstrated excellence in computer keyboarding and current office software such as Microsoft Office
  • Excellent interpersonal, oral and written communication skills
  • Health and Safety Certification an asset
  • Extensive knowledge of current legislation such as the Housing Services Act (HSA) and Residential Tenancies
Act

  • Detail oriented and ability to multitask
  • Successful Completion of Ontario Non-Profit Housing Rent Geared to Income course an asset
  • Discharge all responsibilities with a high degree of professionalism
Physical Demands

  • Standing/walking; bending, stretching, pushing, pulling, and reaching
  • Keyboarding, sitting for long periods of time
Environment

  • Institutional setting, Emergency Shelter facility, Federal Corrections and Housing programs

Key Duties & Responsibilities:
Program

  • Maintain Bed Bug Protocol procedures, including inspecting units for the presence of bed bugs, assisting tenants in preparing units for bed bug spraying, and maintaining bed bug tracking sheets.
  • Work with tenants in the management of their housing
  • Assist in ensuring that new tenants are provided with orientation/education information (ie: Tenant's Handbook or
Information Package)

  • Assist with move in and move out process for tenants, including unit inspections
  • Resolve tenant complaints or forward them to the Housing Manager as appropriate
  • Represent Cornerstone at the Landlord and Tenant Board as required by supervisor
  • Ensure that the process to terminate occupancy is implemented in accordance with rental arrears policies and, for acts other than rent arrears, in accordance with the mediation or resolution processes and the Residential
Tenancies Act or its successors

  • Make referrals to Program staff, or external supports as appropriate
  • Adhere to all Organizational and Program Policies and Procedures and participate as an active member of the
Housing team

  • Assume regular oncall rotation duties
Administration

  • Perform general clerical duties in accordance with established procedures
  • Ensure maintenance of tenant files according to the requirements of all applicable legislation
  • Ensure that all office administrative procedures are in place and current
  • Completion of rental deposit interest calculations and administration of annual interest payment to tenants
  • Completion of annual rental reviews and calculation of RGI rents as well as quarterly reporting statements
  • Assist with tracking and maintenance of outcome statistics as required
  • Assist with tracking and documentation of final reconciliation and preparation of bad debts reports (eg rental arrears, damages)
  • Completion and serving of forms for the Landlord and Tenant Board
  • Completion and balancing of month end rents
  • Completion and recording of vacancy statistics and maintain a current internal transfer waiting list
  • Ensure standards are met to maintain confidentiality of all tenant information, files and statistics
  • Prepare reports as required by supervisor
  • Under the supervision of the Housing Manager, execute Tenancy Agreements for all tenants ensuring that all
Agreements are current

  • Demonstrate due diligence by inspecting the workplace regularly to ensure the overall safety of the facility, staff, volunteers, clients and observe and adhere to all Occupational Health and Safety Standards, the Human Rights
Code and other applicable workplace legislation

  • Together with Maintenance staff, perform movein and moveout inspections and regular inspections of units and common areas
  • Excellent skills in cash management; petty cash reconciliation, receipt of rents, ensure accuracy of rent deposits
  • Monitor rental arrears and make every effort to ensure that they are maintained at an acceptable level
  • Assist with security system programing and video surveillance as directed
  • Maintain confidentiality of all tenant information
