Clerical Assistant, Postgraduate Medical Education (PGME):

The Postgraduate Medical Education (PGME) mission is to develop, implement, research, and support residency programs and training for the 24 programs and 450 residents training with the College of Medicine at University of Saskatchewan.


Primary Purpose:

The Clerical Assistant, Postgraduate Medical Education (PGME) will support the PGME team including Manager and Coordinator(s) in the effective and efficient delivery of Postgraduate Medical educational programming that meets the needs of the Postgraduate Medical Education office, residency programs, resident trainees and/or outside stakeholders.


Nature of Work:

The Clerical Assistant, Postgraduate Medical Education (PGME)reports to the PGME Manager and provides administrative assistant to support to support the general functions of the PGME office as well as specific projects and activities related to residency training.

This position assists in the coordination of various educational activities, and other administrative processes and activities as assigned. Working collaboratively to organize and prioritize the workload is important to ensure projects are completed on time. Strong organizational skills and managing multiple tasks with deadlines will be critical. Respectful relationships with colleagues and stakeholders is essential and diplomacy and tact is required.


Typical Duties:


  • Provide administrative assistance to team leaders;
  • Process event and course registrations;
  • Prepare documents, meeting agendas, meeting minutes, forms, brochures;
  • Maintain accurate records and assure document control;
  • Prepare communication and information updates;
  • Enter data and maintain databases to ensure accurate and secure information is kept;
  • Schedule, book and coordinate meetings and meeting spaces;
  • Research costs and options for coordinators;
  • Assist in maintaining office space and equipment, troubleshoot as needed;
  • Support a respectful, wellorganized and neat work environment;
  • Other duties as assigned to support the ongoing operations, strategy implementation and innovations in PGME

Education:
Completion of Grade 12 and a recognized post-secondary administrative assistant or business certificate program. An equivalent combination of education and experience may be considered.


Experience:
Two to four years of work experience in a similar administrative/academic setting is preferred. An equivalent combination of training and experience may be considered. Experience working in a diverse and inclusive environment is required.

  • Strong organizational and time management skills;
  • Able to manage multiple tasks and meet deadlines;
  • Meticulous attention to detail and accuracy;
  • Proficient in all aspects of administrative work and working knowledge of office processes, including bookkeeping skills and records management;
  • Effective interpersonal and communication skills, both written and verbal, sometimes managing multiple strings of communication;
  • Able to take initiative, learn and adapt;
  • Ability to work independently as well as collaboratively;
  • Proficient in entering and retrieving data and reports from a data base or Excel format;
- demonstrated computer skills including ability to schedule and support Virtual meeting platforms, including Microsoft Teams, Zoom, other.

Salary:
The salary range, based on 1.0 FTE, is $ per hour. The starting salary will be commensurate with education and experience.
