Description
The
Property Administrator will be responsible for overseeing the day-to
- day operation of the Lépine Residential Properties. The Property Administrator will work very closely with the Superintendents; they are responsible for ongoing maintenance and repairs of the buildings, tenant / landlord relations, lease administration.

The Property Administrator will report to the Senior Property Manager

Duties and Responsibilities included but are not limited to the following;

  • Process and administer WO's
  • Maintain tenant insurance requirements
  • Maintain the building occupancy level, which may include meeting with prospective tenants, do tours and respond to requests
  • Assist in the management of the tenant renewal process
  • Ensure maintenance and security logs are completed and to the required standard
  • Post announcements to tenants with respect to maintenance and other notices,
ensuring proper notification in advance to occupied suites

  • Train staff on the use of BuildingLink or other similar software
  • File office correspondence and documentation
  • Maintain and circulate all lists, including: portfolio lists, tenant lists, emergency contact lists, site plans, floor plans etc.
  • Assist in the management of the building/parking access card system and maintain uptodate records of all card/permit holders
  • Assist in the preparation of legal documents for Landlord Tenant Board hearings, evictions, etc. in accordance with the Landlord and Tenant Board Act.
  • Maintain resident database including processing changes to tenants, occupants, and PAP conditions
  • Lease administration, preparing leases completing all documentation including set up
  • Prepare tenant arrival and key package, coordinate move in/out, booking elevators and loading dock where applicable.
  • Administration of sublets, assignments and termination notices
  • Ensure all rent cheques received, key and fob ordering and payments, issue receipts as required.
