DUTIES & RESPONSIBILITIES:


  • Assists with office duties such as printing election materials, ordering and pickup of materials, organizing technical supplies, transporting supplies to and from Election office, voting locations, and warehouse.
  • Assists the Information Technology (IT) team with tracking supplies, equipment inventory, equipment setup/takedown and participating in testing of equipment.
  • Assists the Election Logistics Officer with warehousing and inventory of Election materials supplies.
  • Assists with Election team with closeout activities such as completing inventory and storage of surplus supplies, disposal of documentation (shredding, etc.), organizing and cleanup of office space to original state.
  • Assists with the assembly of secured and unsecured election material (ballot boxes, ballots, supplies, signage)
  • Assists in the unpacking of ballot boxes and prepares election materials for inventory/storage/destruction in accordance with the Municipal Elections Act (MEA).
  • Participates in review of the 2024 Election Project and assists with lessons learned documentation in preparation for 2028 Election Project.
  • Assists the Election & Special Projects Manager with administrative needs supporting the Election (as needed).

QUALIFICATIONS

Education & Experience:


  • Diploma in Business Administration or related field
  • Two (2) years related experience in an administrative role.
  • Experience in the use of current office technology and related software including but not limited to: Microsoft Office (Word, Outlook, Excel, and PowerPoint, Teams)
  • Demonstrated experience in accurate record keeping.

Technical/Job Specific Knowledge and Abilities:


  • Strong organizational skills
  • Experience in the use of current office technology and related software including but not limited to: Microsoft Office (Word, Outlook, Excel, PowerPoint, and Teams)
  • Strong verbal and written communication with a wide variety of audiences
  • Ability to manage multiple tasks simultaneously, while maintaining high level of accuracy and attention to detail.
  • Highly organized with ability to prioritize duties during periods of high volume and meet deadlines in a fastpaced environment.
  • Working knowledge of the public sector (ideally, municipal government) is an asset.
  • A valid Nova Scotia Driver's license, safe driving record and reliable vehicle are required for this position (mileage will be paid in accordance with the approved Halifax Regional Municipality local travel policy).

WORK STATUS: Term full-time (up to November 2024)

HOURS OF WORK: Monday-Friday, 8:30am - 4:30pm, 35 hours/week

SALARY: Non-union level 2, $47,290 - $61,200 annually

WORK LOCATION: 4th floor of Duke Tower (5251 Duke St, Halifax)
