Reporting to the Senior Manager, Recruitment & Payroll, with a dotted reporting to the Manager, People & Culture, the Payroll Specialist is responsible for the efficient processing of the bi-weekly payroll for approximately 350 Canadian and USA salaried and hourly employees and the related day-to-day payroll operations.


ESSENTIAL FUNCTIONS
The incumbent is a highly organized individual with the ability to multi-task with mínimal supervision.

She/he has a strong sense of responsibility and is highly motivated to acquire new skills, manage diverse and complex administrative, communications and organizational tasks with accuracy, discretion, and clarity, while always maintaining a focus on Olsen's operating philosophies.


Your key responsibilities

  • Ensure accurate / timely biweekly payroll processing using ADP's Workforce Now while maximizing efficiencies, maintaining operational standards, and adhering to department policies and procedures.
  • Validation of ADP's time and attendance.
  • Creation of quarterly bonus and monthly commission file for importing into ADP.
  • Act as a liaison with all Government agencies and assist with internal / external audits including CRA, WCB and all US state requirements.
  • Maintain professional knowledge of all payroll's legislative changes.
  • Ensure accurate employee records are maintained in the ADP payroll database i.e. new hires, salary changes, terminations, and also maintained in POS system.
  • Provide timely response to inquiries from finance, managers, employees, government, and other thirdparty agencies utilizing knowledge and interpretation of policies, procedures, and legislation.
  • Responding to DM, Manager and employee inquiries regarding payroll, benefits, hours, sick pay entitlement or statutory holiday pay.
  • Configure payroll reports utilizing ADP's report writer as required; create, modify, and utilize spreadsheets to administer various payroll transactions; conduct payroll analysis as required.
  • Weekly, monthly quarterly, and annual reporting to finance and HR.
  • Reconcile payroll on a quarterly cycle (W2, T4, T4A's, etc.)
  • Prepare and submit all annual returns in a timely manner (W2, T4, T4A's, Releve1, EHT, WCB etc).
  • Responsible for vacation and sick time reporting and reconciliation in addition to ensuring that Olsen's company policy is being adhered and all outstanding vacation is being taken within the calendar year.
  • Provide vacation used/outstanding reporting to Managers throughout the year.
  • Assist with the management and execution of the benefit enrollment process for all Associates, including ensuring the accuracy of documentation and maintenance of records.
  • Monthly benefit billing and reconciliation process.
  • Work closely with Manager, People & Culture on HR related matters.
  • Assist with special projects.

To qualify for the role, you must have:

  • Minimum 5-7years of previous experience. A retail environment is preferred but not necessary.
  • Previous knowledge of ADP Workforce Now and Time & Attendance is required.
  • Payroll Compliance Practitioner (PCP) Certificate preferred.
  • Experience processing US payroll using ADP Workforce is an asset.
  • Advanced excel.
  • Team oriented leadership style and ability to work with diverse groups of people.
  • Advanced interpersonal and communication skills verbal and written.
  • Demonstrated capacity to work with significant independence and yet keep others well informed.
