This vacancy is for a period of up to 12 months due to illness.


SUMMARY OF DUTIES


Reporting to the Co-ordinator, Small Business Enterprise Centre, assist in the administration (answer phones, scheduling appointments, organize meetings, file/ data management) and provide frontline counter support the sharing of information and resources with business owners/ inquiries.

Support HBC programs including Starter Company Plus Summer Company and Launch Local. Perform clerical support duties within the office and support Ontario business registrations.


GENERAL DUTIES

  • Answer telephone by providing information and taking and relaying messages to staff.
  • Triage walkin inquiries, sharing general resource materials and supporting clients to connect with appropriate HBC programs and resources.
  • Maintain a record of appointments and interactions to support monthly reporting.
  • Intermediate capabilities and familiarity with Word, Excel, Outlook, PowerPoint programs.
  • Input client information into HubSpot (contact management system).
  • Receive and file client information.
  • Distribute messages, receive and answer routine enquiries from clients and public.
  • Assist in the scheduling of meetings, communication to clients, trainers, mentors and program staff.
  • Complete telephone and online surveys with program participants and maintain data to support Ministry reporting requirements.
  • Perform other duties as assigned which are directly related to the responsibilities of the position, including assisting with Ontario business registrations.

QUALIFICATIONS

  • Previous office experience related to duties listed above normally acquired through a combination of education and related work experience.
  • Demonstrated ability to answer and redirect calls and walkins as necessary in an efficient and courteous manner.
  • Experience in a computerized environment. Intermediate knowledge of Microsoft Office XP (Microsoft Outlook, Word and Excel).
  • Demonstrated ability to word process correspondence and documents.
  • Must be able to communicate well with the public in a courteous, tactful manner.
Ability to multi-task and work within a multi-faceted work environment with continuous disruptions.
