Why this role is important?

Role Mandate:


The Executive Assistant is accountable for providing full executive administrative support to two Senior Vice Presidents and two Vice Presidents.


Accountabilities:


  • Managing daily calendar including scheduling of meetings and appointments
  • Booking all travel arrangements
  • Managing and filing of expenses
  • Preparation of all correspondence (letters, memos, presentations) using various software packages
  • Coordination of offsite meetings for the leadership team, including, but not limited to crafting agendas, selecting venues, coordinating logistics, and making other necessary arrangements
  • Responsible for prioritizing and redirecting mail and telephone calls as appropriate
  • Follow up and act as a liaison with various individuals both internally and externally, at all levels of the organization
  • Other administrative support including filing, faxing and photocopying as the need arises
  • Assist with special projects as the need arises

Requirements:


  • Proven experience in an executive administrative role
  • Strong digital literacy (Excel, Word, PowerPoint, Outlook)
  • Excellent interpersonal and communication skills (written and verbal)
  • Experience in planning and coordinating events
  • Ability to demonstrate initiative and work proactively in a highly organized manner where attention to detail, accuracy, discretion and confidentiality are critical
  • Adaptable and flexible
  • Ability to work effectively as part of a team
  • Selfmotivated, able to work under mínimal direction, exercising time management and organizational skills
  • High level of professionalism and ability to deal effectively with all levels within the organization as well as external contacts
  • Demonstrated ability to work in a fastpaced environment and manage multiple priorities
