) Administration Manager. This position oversees, plans, organizes and implements administrative and support services within the School of Health Sciences. Works with the Associate Director on the development and monitoring of the department's annual asset management budget and resource plans. Provides support to the Associate Director in setting priorities, analyzing changes and driving related processes. Manages projects and initiatives in support of the department and School goals.
Duties & Responsibilities

ACCOUNTABILITIES:
  • Supports the advancement of strategic goals, measurable objectives and evaluation methods to ensure administrative and operational activities align to the needs of the School and Institute. Monitors and tracks resource allocation and makes recommendations to ensure financial goals are realized.
  • Manages the daytoday planning, administration and coordination of programs and resources within the School. Oversees designated administrative matters, including human resources and asset management processes. Provides support to the Associate Director in setting priorities, analyzing changes and driving related processes.
  • Analyzes support structures, system needs, department policies and processes. Initiates changes and/or establishes new processes as appropriate. Facilitates communication to improve processes and promotes strong internal controls. Ensures adherence to BCIT policies, procedures and Collective Agreements. Makes recommendations to the Associate Director and develops implementation plans.
  • Develops, documents, and communicates hiring, procurement and other administrative procedures for the School and ensures alignment of those procedures with BCIT policy and practices. Initiates changes and establishes new and / or improved processes where required and as appropriate. Develops and delivers training for Faculty and Staff on School procedures.
  • Coordinates space planning and utilization, ensuring that Faculty and Staff have all pertinent information regarding office facilities, classrooms, laboratory spaces and administrative processes.
  • Oversees the School's annual capital asset inventory process by working with stakeholders on activity planning, assigning and coordinating activities and monitoring progress status to completion. Establishes processes to ensure consistency and accuracy.
  • Manages capital assets and resources by ensuring plans and processes are established to track and manage allocation. Implements and communicates processes for managing resources. Ensures procurement and maintenance on resources are coordinated, planned for and occur when needed.
  • Works with Associate Director on short and long term planning for resource and capital asset procurement, maintenance and replacement budgets.
  • Develops standard operating procedures and delivers orientations for staff on administrative and operating procedures.
  • Ensures attendance recording and attendance awareness programs are administered, maintained, documented and approved according to Institute policy.
  • Acts as a resource to various committees and supports Associate Deans and Program Heads with hiring practices, search committees and procurement practices.
  • Manages direct reporting staff, overseeing and participating in selection, coaching, mentoring, development, performance management and all other peoplemanagement practices.

Qualifications

QUALIFICATIONS:


  • Completion of a Bachelor's degree with a focus in a health sciences and/or business administration related field.
  • Five years of administrative experience which includes at least 1 year of supervisory experience in a unionized environment.
  • An equivalent combination of education, training and experience may be considered.
  • Demonstrated ability to lead group discussions and provide training to staff on various processes and tools.
  • Demonstrated business acumen with the ability to communicate with all levels of employees.
  • Selfdirected and selfmotivated with the ability to exercise sound judgment when dealing with a variety of complex issues.
  • Demonstrated leadership, time management, project management, and organizational skills.
  • Excellent interpersonal, written and oral communication skills.
  • Must be detailoriented with demonstrated creative problemsolving skills.
