    Purpose

    Contributes to the overall success of the District Office, ensuring specific individual goals, plans, initiatives are executed / delivered in support of the team's business strategies and objectives. Ensures all activities are conducted in compliance with governing regulations, internal policies and procedures.

    The Client Services Officer is responsible for providing efficient and high-quality support to a team of Relationship Managers in the District Office environment. The incumbent provides administrative support on the day-to-day operations of the office. He/she supports Relationship Managers on new and existing deals by spreading financial statements, populating some components of the credit application*, preparing documents related to the deal, etc.

    A high degree of professionalism is required as the CSO has frequent contact with clients, prospects, COI's, lawyers, accountants, Roynat Executive Office and other Scotiabank partners.

    Accountabilities

    • Champions a customer focused culture to deepen client relationships and leverage broader Bank relationships, systems and knowledge.
    • Provides support to Relationship Managers and the District Director/ District Manager on new and existing deals by:
      • Contributing to the completion of credit applications by the Relationship Manager including forms, initial financial information, obtaining credit reports and supplier contacts.
      • Contributing to client portfolio management by reviewing and obtaining required authorizations, gathering supporting documentation including property taxes, appraisals, insurance, environmental certificates and financial statements, and ensuring all client correspondence and sundry files are up to date.
      • Spreading financial statement data and where possible, providing basic analysis to identify trends and changes in revenue streams.
      • Completing reports, and conducting due diligence research as needed.
      • Assisting with and/or completing Amendments, Reviews, etc.
      • Ensuring requirements and any contingent conditions, such as Know Your Customer (KYC), have been satisfied before facilitating the disbursement process.
      • Resolving any client inquiries and/or escalating them to the appropriate Relationship Manager as required.
    • Ensures effective and timely communication with all Roynat employees, Centres of Influence, Roynat clients, and Partners by:
      • Preparing accurate and professional correspondence for a wide range of communications;
      • Accompanying Relationship Managers and the District Director on client visits as required;
      • Maintaining excellent business relationships with stakeholders by responding to application inquiries, greeting visitors, and booking appointments as required, this includes Scotiabank partners, Lawyers, Accountants and other Centres of Influence (COIs).
      • Accurately completing and submitting reports and requests for information.
      • Ensuring all correspondence is filed in accordance with Roynat's guidelines (i.e. shared drives, client files).
    • Provide exceptional support on client events and other district office initiatives by:
      • Assisting with planning and organizing of business development / client appreciation events.
      • Coordinating event logistics which may include: identifying and liaising with the venue, coordinating venue logistics (i.e. AV, meals, signage, etc.), working with Marketing to create invitations, maintaining attendee and RSVP lists, ordering any Roynat branded merchandise, being the main point of contact onsite, etc.
      • Ensuring the event stays within budget and any out-of-budget items are properly authorized.
      • Liaising with the Marketing team in Executive Office for support with branding, invitations, signage, etc.
      • Ensuring any issues/problems are resolved effectively and/or escalating them to the District Director/District Manager as appropriate.
    • Contributing to the Operational Excellence of the District Office by supporting day-to-day office operations to ensure compliance and operational efficiencies by:
      • Providing feedback to the District Director/District Manager on operational processes which could be tightened streamlined and/or made more efficient.
      • Completing internal monthly reporting as required.
      • Reconciling expenses/invoices and ensuring timely payment of them.
      • Ordering office supplies and maintaining optimal levels of inventory.
      • Coordinating meetings/travel for Relationship Managers and the District Director/District Manager as required.
      • Ensuring all policies and procedures regarding privacy and security of client information is being adhered to.
      • Providing support (as required) to the onboarding/training of new employees – includes coordinating IT requirements, new employee welcome package, etc.
    • Contributing to District Office productivity and self-development by:
      • Maintaining a solid knowledge of Roynat products, services, processes and procedures.
      • Maintaining a good knowledge of changes to policies/procedures to ensure assigned duties and responsibilities are completed in accordance with company/bank requirements.
      • Continually increasing both business writing skills and analytical skills.
      • Proactively asking District Director/District Manager for feedback to improve individual performance and ongoing development.
      • Sharing best practices with colleagues across the company and continually looking for more effective/efficient ways to complete tasks.
      • Completing other duties as assigned by the District Director/District Manager.
    • Understands how the Bank's risk appetite and risk culture should be considered in day-to-day activities and decisions.
    • Actively pursues effective and efficient operations of his/her respective areas in accordance with Scotiabank's Values, its Code of Conduct and the Global Sales Principles, while ensuring the adequacy, adherence to and effectiveness of day-to-day business controls to meet obligations with respect to operational, compliance, AML/ATF/sanctions and conduct risk.

    Education/experience and skills

    • Successful completion of a university program with a focus on commerce, economics, finance and/or accounting.
    • 1-2 years of experience working in a financial accounting or loan processing/credit adjudication environment.
    • Good knowledge of the Canadian Commercial Banking marketplace is an asset.
    • Applicants with a proven record in accounting or possess a financial analysis background are front-runners for this role that offers promising career advancement for those interested in pursuing a role in sales and/or risk management.
    • Foundational relationship-building skills with proven ability to work in a team setting and cross-functionally with other Roynat/Scotiabank partners.
    • Basic knowledge of the Canadian Commercial Banking marketplace.
    • Strong organizational skills, with a keen attention to detail.
    • Strong communication and interpersonal skills through consistent demonstration of approachability, ability to build trust and understanding.
    • Good understanding of financial statement analysis, and knowledge of risk assessment techniques for structuring credits are considered an asset.
    • Good presentation skills and ability to think/respond quickly and adapt to change readily.

    Working condition

    • Works in a standard office environment with occasional clients coming through the office, often the main point of contact for clients.
