Job Overview / Purpose:
Reporting to the Director Service Delivery, ITS, the Information Technology Purchasing Analyst will be responsible for creating purchase orders, processing invoices, and managing vendor relationships to support the procurement needs of the IT department.
The role will require excellent analytical, communication, and organizational skills to ensure timely and accurate delivery of equipment and services.
Key Accountabilities:
- Create purchase orders for IT equipment, software licenses, and services in accordance with company policies and procedures
- Coordinate with vendors to ensure timely delivery and resolve any issues with orders
- Process invoices and reconcile them with purchase orders to ensure accurate billing
- Prepare vendor invoice uploads in excel, for invoices that are allocated to multiple accounts
- Review invoices and purchase orders in workflow and ensure they are actioned timely
- Work crossfunctionally with other departments to ensure alignment with company goals and objectives
- Assist in the development and implementation of procurement strategies to optimize cost savings and drive efficiency
- Evaluate vendor performance and make recommendations to improve overall vendor management
Qualifications:
Experience:
years of related experience
- Business knowledge relating to purchasing & invoice processing.
Education:
- Post-Secondary education or equivalency.
- Basic knowledge of accounting and budgets would be considered an asset.
Skills & Abilities:
- Strong computer skills, including proficiency in Microsoft Office Suite (Word and Excel). Experience with Yardi is preferred.
- Ability to analyze data, identify trends, and make recommendations based on findings. Experience with analysis, cost management, and vendor management is preferred.
- Excellent verbal and written communication skills. Ability to communicate effectively with vendors, stakeholders, and team members.
- Strong organizational skills and attention to detail. Ability to manage multiple tasks simultaneously and prioritize workload effectively.
- Ability to work collaboratively with crossfunctional teams and build relationships with vendors. Experience with vendor management and contract negotiation is preferred.
- Demonstrated organizational/time management skills and ability to meet deadlines.
- Proficient in data entry
- Able to handle a high volume of transactions.
- Bilingualism (English and French) an asset, but not imperative.
