Short Description of the Position:


Under the supervision and guidance of the Assistant Director of Camp and School Age Programming (ADCSP), the Administrative Coordinator of School Age Programming is responsible for the administrative functions of the School Age programming area of the Early Childhood Department.

This includes Afterschool, JCamp, Break Camps and School's Out (PD) day programming.

The Administrative Coordinator will work closedly with the Camp and School Age Programming team to plan, prepare, organize and execute the MNjcc's multiple offerings in the School age area, ensuring their success.

Communication with parents will be a priority in this position.

  • To ensure the success of JCamp and all School Age programming, the Administrative Coordinator, Camp and School Age Programming will work with the ADCSP and the Coordinator of Camp and School Age Programming (CCSP), along with the rest of the ECE Senior Team to ensure that JCamp, Afterschool programs and our Break Camps/School's Out programs are programs of excellence for children attending our programs.
  • Implementing the Mnjcc's Vision, Mission and Values and the Director's vision and objectives for the early childhood programs aligned with the Program Statement, ensuring compliance at all times with Ministry licensing requirements of the Child Care and Early Years Act.

Schedule:


  • 30 to 37.5 hours per week (depending on the season), Full Time, Year Round.
  • Available to work a variety of shifts between 8:00 a.m. and 6:00 p.m. Occasional evenings will be required to attend staff meetings and other professional development.

Key Duties and Responsibilities:

Administrative Support

  • Ensuring children and staff files are up to date in accordance with the Ministry of Education and the City of Toronto.
  • Office administration, including ordering supplies, maintaining allergy list, daily attendance and class lists, processing registrations, etc
  • Adhere to allotted budget restrictions and ensure fiscal management by being familiar with the ECE Department budget
  • Attending necessary building meetings
  • Assisting with checking weekly newsletter when needed
  • Assist in coordinating special events
  • Assist in coordinating fundraisers
  • Preparing all necessary packages for parents and assisting the DCSP in preparing staff packages
  • Being a contact for JCamp, Afterschool, Break Camps and School's Out parents and staff
  • Creating a warm, friendly, helpful and nurturing environment for parents, children and staff
  • Submit work orders for maintenance issues as needed
  • Conduct playground inspections as needed (including rooftop)
  • Attend ECE staff meetings (after hours)
  • Participate in ECE professional development days (may be after hours or on weekends)
  • Willingness to assist with other duties that may arise
Staff Support

  • Being a part of the staff ratio and assisting in rooms when required
  • Support swim with possibility of being in pool
  • Help support programming to enhance the cultural, educational, physical, mental, and social wellbeing of children registered in our programs.
  • Assisting the staff with any routines or needs of children, when necessary, i.e. during transitions or to meet ratio
  • Working in collaboration with the rest of the ECE Senior team creating a cohesive working group

Qualifications and Requirements:


  • Strong administrative skills, including proficiency with Outlook, WORD, Excel, PowerPoint, accounting admin and software
  • Excellent command of English language both oral and written
  • Experience working in a Day Camp or Early childhood setting
  • Clear/no relevant information from a VSS check/Criminal Reference Check
  • Ability to legally work in Canada/Ontario/for the MNjcc
  • Must be up to date on all required immunizations including have required COVID19 vaccinations
  • Current Standard First Aid
- level C with CPR and AED certification

  • Ability to multitask, work under pressure, and be flexible
  • Must be a team player and be able to effectively collaborate with ADCSP and the CCSP, the ECE Senior team and other MNjcc staff
