CDCI Research is looking for a qualified Project Coordinator to support our project teams.

There is a requirement for on-site (Ottawa office, Library and Archives Canada, and/or federal government client site) work, but a hybrid schedule is a possibility for this role.

This role would also provide research support as required on projects.


Position Summary:


Under the supervision of the Project Manager, the Project Coordinator will provide administrative and coordination support to project teams during the management of all projects assigned and contribute to the successful delivery of projects.

This role will work closely with the Project Manager and project team to ensure project schedules, budgets, and project documentation are up to date.


Major Responsibilities and Duties:

Project Coordinator

  • Create and maintain project Gantt charts including monitoring project progress, milestones, and budget
  • Assist with national project resourcing including updating resourcing tools
  • Track project change requests and advise on requirements for amendments
  • Assist in preparation of proposals and cost estimates including preparing resource submission packages
  • Provide project reports and status updates to Project Managers and Research Managers; including drafting progress reports in support of invoicing
  • Maintain and file project documentation
  • Provide meeting support including setting agendas and taking minutes

- **Research Support*
  • Conduct paper and electronic file review including identifying and collecting relevant materials;
  • Undertake data entry for document collections including issue coding or tombstone coding;
  • Compile templated reports;
  • Perform document management tasking including scanning or image processing; and/or
  • Complete quality review of completed work prior to client delivery.

Experience and Qualifications:


  • Bachelor's degree in the social sciences/humanities (preferably in history, Indigenous Studies, or law)
  • 12 years of project coordination experience
  • 12 years of experience conducting research services or document management tasking
  • Experience working with project management software
  • Basic understanding of Project Management discipline and concepts
  • Experience creating and managing project schedules and budgets
  • Strong computer skills, including database software and a high level of proficiency in Microsoft Excel
  • Excellent verbal and written communication skills
  • Strong organizational skills with an ability to prioritize and multitask while working on multiple projects
  • Strong attention to detail and high level of accuracy
  • Ability to work independently with mínimal supervision as well as work and communicate effectively within a team environment
  • Eligible to obtain PWGSC security clearance
  • Covid19 vaccination required for in office work (exemptions may be granted on medical or religious grounds)

Additional Desired Experience and Qualifications:


  • CAPM / PMP certification or Project Management Institute course work
  • Bilingual (English and French)
  • Holds PWGSC Secret security clearance
  • Experience working with federal government clients
  • Understanding of historical/archival/legal research industry
