The incumbent provides administrative support and services to the function including budget control, ordering supplies, preparing a variety of reports and correspondence, ensuring all general equipment is functioning as well as answering inquiries from employees, visitors and telephone callers.

The position requires knowledge of the functional area in which they operate as well as specific corporate policies, procedures and systems.


Responsibilities:

Below are the main job requirements and responsibilities for the Clerk Administration (Operations Support)

  • Working knowledge of various corporate menu drive systems as well as various corporate software packages. Ability to create letters, reports, spreadsheets, charts and presentation material.
  • Screening visitors, telephone callers, determining nature and purpose of call, answers general inquiries, refers to others; takes messages as required.
  • Orders goods through eprocurement. Liaises with various functional groups with respect to national contracts and supplier agreements; verifies supplier invoices against services provided, resolves discrepancies and ensures prompt payment of all invoices to external supplier. This includes confirming receipt, confirming payment and distributing goods to employees.
  • Contact responsible for contacting external suppliers regarding photocopier, fax machine and all general equipment for the work group. Responsible for reporting problems and ensure the equipment is fixed in a timely manner. The incumbent has authority to sign off on the completed work.
  • Provide administrative assistance in the preparation of contingency plans that will be implemented during legal and illegal work stoppages.
  • Compile and process readily available information following preestablished guidelines. Prepare and distribute various daily, weekly and monthly reports. Prepares spreadsheets and charts. Maintain accurate and up to date information on various lists as required.
  • Responsibility to maintain accurate records, assemble, analyze and compile information, statistics and reports, cross reference all documents to ensure data accuracy and integrity. Verifies various reports, identifies anomalies and ensures corrective actions are undertaken.

Job Responsibilities (continued):


  • Process grievances from various bargaining groups by; distributing copies, maintaining a log, inputting information into computerized system; gathering and compiling information and typing grievance replies as required.
  • Receive and deal with requests from the various sections or employees made in person, by telephone, by memo, by fax or by courier; forward them to appropriate resource or deal with them directly.
  • Sorting and distributing all incoming and outgoing mail to appropriate sources in a prompt and efficient manner.
  • Performs other related duties as required.

Qualifications:

Education

  • Completion of secondary school according to provincial standards or equivalent (GED) is required.
Experience

  • No previous work experience is required.

  • Knowledge of SAP
  • Knowledge of Microsoft Office (i.e. Excel, Access, Word, PowerPoint & Outlook).
