Job Summary:

The Receptionist / Office Coordinator role aims to efficiently manage office operations, supporting multiple departments with various tasks:

  • Handling mail sorting, calls, guest greeting, kitchen / bathroom stocking, dishwasher management, and ensuring orderly meeting rooms.
  • Managing schedules, boardrooms, and sending regular reminders.
  • Arranging agendas, travel plans, appointments, etc.
  • Overseeing correspondence, updating lists & databases, and IT/Phone setups for new hires.
  • Organizing celebrations, office equipment maintenance, database management, maintaining office cleanliness, and security systems.
  • Supporting meetings, managing filing systems, handling inquiries/complaints, document submissions and general building maintenance including HVAC.
  • Respond in an efficient & timely manner to customer inquiries & complaints.
  • Assisting departments, aiding project coordination, and managing officerelated issues.
  • Coordinating staff activities, overseeing recordkeeping, ensuring data security, and implementing operational changes.
  • Maintain office supplies and ordering.
  • Ad hoc duties as assigned.

Qualifications:


  • 4+ years' experience in a similar role.
  • Proven administrative/office management experience.
  • Strong organizational and multitasking skills and attention to details.
  • Excellent communication and interpersonal skills.
  • Proficiency in clerical tasks, detailoriented, MS Office Suite proficiency, and a positive attitude.
