Job Description:

This position is responsible for building schedules and data entry into payroll database for all teams. This position also supports the Payroll Administrator.

***KEY RESPONSIBILITIES


Scheduling:


  • On a daily basis retrieves calls from the internal absence line, forwards the messages as required to the necessary departments, and prepares the leave management process for manager approval
  • Inputs into Quadrant scheduling module all approved scheduling exception forms.
  • Maintains the appropriate rollout of Quadrant schedules.
  • Changes and modifies scheduling templates as required.
  • Exports and posts team schedules in accordance with the collective agreements.
  • Confirms scheduling exceptions and hours of work with employees and manager as required.
  • Replace necessary shifts using tools in Quadrant with appropriate manager assistance as required, locating and calling in staff in accordance with applicable collective agreement provisions taking into consideration employee skill sets and team needs.
  • Attends to requests for relief coverage.
  • Update and maintain staff schedules and related information.
  • Provides support and coverage for the Payroll Administrator as required.
  • Performs other related duties to facilitate the provision of scheduling tasks as required in accordance with the LHIN's goals and objectives.

  • Supports patient safety culture by ensuring work completed recognizes the safety of the patient(s).
Risk Management

  • Reports risks with causes, impacts or mitigations beyond scope of responsibility to management.
  • Follows safe practices related to the security and privacy of information.
Health & Safety

  • Must adhere to the duties of workers, as stipulated in Section 28 of the _Occupational Health and Safety Act._
  • Must adhere to all NSM LHIN administrative and applicable occupational health and safety policies, procedures and protocol.

Other:


  • Provides backup support as required.
  • Other duties as required.

POSITION REQUIREMENTS:


Education:


  • Postsecondary diploma in office or business administration.
Experience / Knowledge

  • Minimum two (2) years of recent work experience, preferably in scheduling.
  • Knowledge of Quadrant HR/payroll database and data entry a definite asset.
  • Office experience in a health care environment preferred.
  • Thorough knowledge of general office procedures including effective filing systems, and familiarity using a variety of office equipment.
  • Thorough knowledge of confidentiality/privacy issues
  • Familiarity with fully integrated HRIS systems (Scheduling, HR and Payroll).
  • Strong data entry skills and ability to work in MS Word, outlook, Excel and Intranet.
  • Demonstrated ability and experience using current LHIN databases.
  • Knowledge of _Employment Standards Act_.
