Purpose:


The Accounts Administrator will provide financial administration, monitoring and reporting in research grants/contracts awarded by granting agencies (Grantor) (internal and/or external) to Professors/Principle Investigators (Grantees) as assigned by Management.

The grants/contracts can include but are not limited to any federal, provincial, municipal, Institutional, corporation/business, association/society, foundation, or any other agency/organization.

The grants/contracts can include but are not limited to internal awards, standard grants/contracts (defined as grants/contracts agreements that require limited review because they are all issued in a similar format and whose guidelines/requirements are similar (e.g.

tri-council (SSHRC/NSERC/CIHR), PWGSC), and non-standard grants/contracts (defined as grants/contract agreements that require review because they are issued in a unique format and/or whose granting agencies guidelines/requirements are unique to each grant/contract (e.g.

CFI, CIDA, NCEs, OCEs, associations/societies, foundations, etc.).The Accounts Administrator will prepare timely (i.e., ad-hoc, monthly, quarterly, or annually) and accurate (as set out in the agency reporting guidelines or funding requirements) financial reports (including financial statements, statement of expenditures, invoices, etc.) or financial analysis of grants/contracts for Management, Principle Investigators and/or Designates (including their Faculties or Centres) and/or granting agencies as assigned by Management.

The incumbent will ensure that overspent accounts are followed up, accounts receivable and advances are collected, grants/contracts are reviewed and analyzed.

The incumbent will be responsible for monthly/quarter and/or yearly analysis and reconciliation of general ledger accounts as assigned by Management.

The incumbent will also ensure other assigned tasks are followed up and completed.
As part of the administration of grants/contracts, the incumbent will identify issues, seek to resolve if possible and/or escalate to Management for resolution


Education:


Completion of a University Degree in Commerce or Accounting or an equivalent of 4 years recent experience (defined as within the last five years) working at York University and performing the same or similar tasks.

This education equivalency is in addition to the experiential requirements outlined below. Pursuing a professional accounting designation is desired.


Experience:


Two years of progressive accounting experience such as grants/contracts administration, financial analysis and/or financial reporting in a Finance department, preferably Public Sector and preferably a university setting.


Skills:

Capable of preparing financial statements, financial reconciliations, and account analyses.
Fully conversant and capable of interpreting terms and conditions of grants/contracts.
Excellent organizational skills. Ability to manage a high volume of work, priorities and competing time demands.
Strong oral and written communications skills. Ability to interact with others in interpreting information and presenting ideas is necessary.
Strong client service orientation. Tact and diplomacy are essential as well as the ability to maintain confidentiality.
Demonstrated problem-solving skills.
Demonstrated team player. Ability to share relevant information with others as appropriate. Contributes to the effective management of the general workload in the office and supports Management.
