We are recruiting for
PROGRAM ASSISTANTS:


There are two opportunities available:

-
_Two Regular full-time positions (35 hours per week Monday to Friday 9am to 5pm) based at 737 Woolwich St N, Guelph, ON._


The Program Assistant will report to the Team Lead, Administration, and will join other Program Assistants and Executive Assistants as a member of the Administration Team, which provides a wide range of administrative support across the agency.

Adapting to the shifting needs of the agency, the Admin Team is committed to providing flexible, efficient and creative support so leaders and staff can focus on providing excellent care for clients and families.

This team takes a "can do" approach, and "goes with the flow" while maintaining a positive attitude.


Working in a fast-paced environment, the Program Assistant will provide a full range of program and administrative support services, supporting Leaders across our clinical/regional services and with our community outreach and education programs.

Admin Team members also help each other balance fluctuating workloads.


The Program Assistant will:
- schedule and coordinate meetings, prepare agendas and minutes, organize catering, and support related follow up tasks
- assist with organizing events and training
- purchase, organize and track program supplies
- work on program documents, including forms
- organize program information and documents electronically (e.g., SharePoint)
- provide timely response to multiple inquiries and requests from leaders and staff
- other duties as assigned, including supporting other Admin Team members with fluctuating workloads


Qualifications:

  • College Diploma in Office Administration
  • Minimum of three years' relevant experience within an office environment (healthcare or community services is an asset)
  • Excellent interpersonal and communications skills
  • Ability to work well independently and as part of a team, and to work with all levels of the organization
  • High level of proficiency and experience with a wide range of software including MS Office (Outlook, Word, Excel, PowerPoint) and working with PDFs. Strong knowledge of Teams and SharePoint is an asset.
  • Ability to work in a fastpaced environment and be adaptable, innovative and flexible
  • Excellent organizational and time management skills, ability to handle competing priorities
  • Ability to be proactive in order to support the daytoday needs of leaders and their programs
  • Strong problem solving skills
  • Strong degree of accuracy and attention to detail
  • Basic financial skills
  • Some knowledge of organizing and supporting virtual meetings
  • A valid driver's license, vehicle, and insurance, as occasional daytime travel within our service areas is required
