The Communications Associate reports directly to the Director, Organizational Excellence.

RESPONSIBILITIES:


Communications and Administration Services:


  • Provide corporate communications and administrative support services for the development of publications, programs, presentations and resources for IHSA.
  • Prepare, edit, proofread where necessary and format educational presentations, booklets and training resources using Microsoft Office (PowerPoint, Word, Excel) and Adobe Creative Suite (Photoshop, Illustrator and InDesign).
  • Develop and revise corporate templates, artwork, graphics, reports, tools, resources and forms as required.
  • Compile files in PDF format and create production specifications using thirdparty printer software for internal stockroom job tickets, or the coordination of external print jobs.
  • Coordinate the transfer or troubleshooting of electronic resource files with IHSA's stockroom.
  • Correspond with and fulfill electronic program material transfers to consultants and trainers as required.
  • Identify and locate existing product codes for training programs, products and kits within IHSA's Customer Relationship Management (CRM) system.
  • Collaborate with the Graphic Designer, Human Resources, external printer and the end users to coordinate submissions, production, proof approvals and distribution of staff business cards and identification badges.
  • Provide customer service and product information to internal and external stakeholders, including members and strategic partners, or direct customers to appropriate staff and/or resources.
  • Create and format training material and products for externally hosted custom programs or special events.
  • Provide training materials to accommodate requests made in accordance with Ontario's Accessibility for Ontarians with Disabilities Act, 200
  • Make routine and nonroutine decisions within the scope of the job referring unusual situations to the Director, Organizational Excellence.
  • Ensure safe operation of equipment, machinery, tools and work aids including, as required, office network printers.
  • Participate in department meeting presentations and provide meeting minutes.

Project Management:


  • Oversee the endtoend document management lifecycle for training program records including generation, approval, electronic issuance, revision, and archival.
  • Verify the output is ready for final approval, that the document is on the current effective template, and all formatting is consistent and in compliance with branding.
  • Create new product code requests and coordinate associated program entry within IHSA's CRM system.
  • Manage the library of training materials in cloud storage and the shared network.
  • Track change requests via the development and maintenance of revision logs to help establish a feedback loop, improve version control and ensure that all team members signoff.
  • Consult with, participate in, and provide expertise to various internal and external project teams as required.
  • Handle all copyright requests for IHSA material, coordinate permissions, formalize the agreements and catalogue results.

Data Reporting and Quality Assurance:


  • Support Program Development Coordinators in maintaining integrity of technical information of training content.
