The manager, planning and scheduling manages all planning and scheduling functions across the VFPA Infrastructure Division's capital projects.

Working closely with the project controls leadership team and with project managers within a matrix organization, this position ensures that robust scheduling processes are developed and followed, ensuring successful execution of VFPA projects.

Additionally, the position provides guidance to program directors/ managers and provides input to strategic decisions that affect the functional area of responsibility.

In collaboration with the project manager, they shall ensure that the scheduling function is appropriately resourced and implemented.

Planning and Scheduling Systems and Processes

  • Providing general project controls management services with a focus on planning & scheduling
  • Develop and implement best practice schedule planning and management policies, processes and procedures to support the size, scale and complexity of port authority major capital projects
  • Collaborate with project controls leadership in the development, roll out, training and communication with project team members in the implementation of new processes or procedures. Ensure change management best practices and competing project specific constraints to support project team buyin and adherence are considered
  • Pursue standardization and streamlining to improve efficiencies in schedule reporting, including continuous improvement of tools and techniques
  • Develop and implement the consistent use of bestpractice processes utilizing Prism and P6, for project planning and scheduling
  • Deploying training programs to ensure projects team member's qualification regarding planning & scheduling processes & tools
Planning and Scheduling Service Delivery

  • Resource, build and lead a high performing team, and collaborate with other Departments and Divisions in the delivery of the service and ensure clarity of roles and responsibilities in a matrix environment
  • Develop and implement a resource plan for staffing the planning function, including staffing and retention plans
  • Oversee senior team members embedded as matrix team members on the major capital projects' teams to achieve program/project objectives on planning and scheduling
  • Collaborate with project controls teams and project/program managers on scope, schedule and cost vs. the approved baselines
  • Lead the scheduling team to deliver all schedule reporting as required, such as monthly report and lookahead schedules, and identify key activities that require attention
  • Provide supervision and oversight of direct reports, to ensure a high level of customer responsiveness to project delivery teams and high quality service provision. Develop strategies and implement processes to administer the effect of incoming and outgoing change requests on the program/ project schedule
  • Proactively identify problems in the program/ project schedule and assist schedulers if required in effectively managing a resolution
  • Control program/ project schedules through proactively managing changes to the baseline are conducted through auditable control processes
