Primary Purpose of Position


Based out of the Oakville office and reporting to the Director of the Chairman's Office, the incumbent is responsible for greeting people and directing them to the proper channels personally and through telecommunications.

They will assist in the smooth operation of the business through administrative, clerical, and analytical support.


Major Responsibilities of Position

  • Respond to incoming calls, sales representatives, customers, or the public.
  • Receive, sort, and distribute incoming mail, prepare outgoing mail.
  • Create and ensure adhoc reports and charts are up to date.
  • Maintain office equipment and supplies, as required.
  • Provide data for weekly and monthly management reports in a timely manner.
  • Record meeting minutes.
  • Order meals and ensure invoicing is completed properly with all authorizations received.
  • Schedule appointments and meetings.
  • Maintain order in meeting rooms and kitchenettes at all times so they are ready to receive visitors. Ensure supplies are ordered and maintained for meetings.
  • Purchase and prepare coffee, tea, water, etc. as requested for meetings.
  • Other responsibilities as required, including special projects as they arise.

Educational and Certification Background:

Post-Secondary education in Administration or Business Management

0-2 years administration experience

Strong computer skills, particularly in Microsoft Office Suite and other administrative software

Excellent communication skills in English, both written and oral

Experience and knowledge in Automotive or related industries is an asset

Strong organizational and time management skills, with attention to detail and accuracy

Ability to work flexible hours
