DUTIES AND RESPONSIBILITIES:
As a key member of the Office of the Registrar's management team, the Manager, Scheduling reports to the Director, Student Information Systems and Reporting.
The incumbent is accountable for the overall coordination and management of College academic space in relation to the creation of student/faculty timetables in a multi-term, multi-campus environment for postsecondary, continuing education and apprenticeships.
The incumbent also manages Campus ID and OCAS System portfolios. The incumbent will manage six staff members located in two different campuses. The Manager, Scheduling will set individual goals and objectives, ensuring that performance standards continue to meet the College's strategic requirementsScheduling:
Works in a proactive and collaborative manner with Facilities Management and the Academic Faculties to identify space needs with regard to various delivery modes and to effectively producing quality student, and faculty timetables while optimizing the allocation and utilization of space
Gains support and cooperation from stakeholders by obtaining and analyzing past term activity to predict future space needs while optimizing the use of current space
Accountable to manage the delivery of various services including: course scheduling, space planning and classroom inventory in collaboration with the Facilities Management division
Accountable for the ongoing liaison between the College and the vendor of the scheduling system, providing user feedback to the vendor and ensuring that the College remains current with any upgraded versions of the system
Ensures that student timetables are finalized prior to registration, with added efficiency and optimal utilization
Continually review scheduling processes, procedures and systems in response/support of College and departmental initiatives; develop, implement and communicate all new processes and procedures as required
Manages the College room reservation system for daily room bookings, special events and contract training activities
Provides college stakeholders with regular feedback on scheduling quality through report distribution
Campus ID:
Advises and approve on design and functionality of all cards and badges to meet the technological/service requirements of clients; and oversee the development of processes to support special card projects
Works with TouchNet, Presto, DRT, and other external partners to maintain and improve functionality of vendor portals, and resolve technical issues
Responsible for assigning responsibility to ensure all student data is successfully uploaded to vendor portals based on arranged schedules
Resolves any escalated student or staff ID or U-Pass concerns while maintaining exceptional customer service
Admissions Systems:
Acts as liaison between technical lead and stakeholders associated with admissions systems (Admissions, IT, OCAS)
QUALIFICATIONS:
- A minimum of a 4year degree in information management, business or the equivalent in education, training and experience.
- A minimum of five years of experience including scheduling experience in a postsecondary institution (or in a field of similar complexity).
- Knowledge of the College's educational structures and experience in an educational environment is essential.
- Welldeveloped supervisory, administrative, leadership and change management skills
- A strong understanding of the student life cycle and demonstrated experience and student records systems in a relational networked computer environment, complimented by knowledge of scheduling issues and related academic and administrative funct
