Position Summary


The ADMINISTRATIVE ASSISTANT III exercises moderate judgment/independence and utilizes knowledge to provide administrative services in support of a busy and complex Biospecimen Services Program (UHN BSP).


Duties

Acting in a moderately independent manner they will:

  • track multiple projects, services, technology allocations and supply utilization
- assist with technology set-up for new employees and help troubleshoot initial IT challenges
- assist in arranging small to mid-size formal and informal meetings/events
- prepare quarterly newsletters and reports, using standardized templates
- maintain the UHN BSP website and other media tools while seeking other ways in which to bring external awareness to the program
- act as timekeeper for one pay group (i.e. tracking and inputting of staff hours, vacation, absences/other (after UHN specific training)
- perform moderately complex invoicing and budgetary functions for multiple cost centers
- prepare monthly reconciliation of procurement card statement(s)
- maintain trackers with confidential staff information
- arrange conference registration/travel arrangements for senior staff, when applicable
- perform cross-functional duties, as assigned or requested


Qualifications

  • Completion of a recognized postsecondary general or medical office administration program at the diploma level or equivalent
  • Four (4) years related administrative support experience
  • Previous onthejob computer/wordprocessing, database and spreadsheet software experience
  • Experience in a Microsoft Office environment with strong Power Point, Excel and graphic presentation skills
  • Excellent organizational, time management, and prioritization skills
  • Good verbal and written communication skills
  • Good interpersonal and customer service skills
  • Ability to produce high quality work in accordance with UHN BSP guidelines and SOPs
  • Ability to work well under pressure
  • Ability to use good judgment in assessing difficult situations
  • Website management and social media experience an asset
  • Experience working in a scientific or biospecimen program environment an asset
