The Role


We are looking for an executive assistant to join Pocketpills' amazing team, reporting to the VP of Finance, you will play a pivotal role in facilitating the smooth operation of various executive functions within the organization.


Roles and Responsibilities

  • Manage executives' calendars and schedule meetings
  • Assist in developing companywide policies
  • Organize executive and employee travel and accommodations
  • Relay information, delegate tasks from executives to other departments, and take them to completion
  • Manage the executive's expenses by accurately tracking and reconciling receipts and invoices
  • Work with department leaders on project coordination and business administration
  • Track minutes and action items for various executive meetings
  • Prepare slides for various types of presentations
  • Prepare draft reports, background documentation, and research
  • Maintain electronic signature platform and drives
  • Create and send out various corporate agreements and employee agreements for execution.
  • Coordinate and communicate with external lawyers regarding share option grants and exercises, annual filings, and other corporate documents
  • Support all departments with various tasks
  • Plan corporate events alongside the HR team
  • Manage daytoday activities of executives

Qualifications & Experience

  • Excellent verbal and written communication skills
  • Technologically savvy
  • Minimum three (1) years of administrative experience in a corporate setting
  • Proactive with the ability to work individually and in a team environment and complete tasks with mínimal supervision
  • Ability to exercise sound and independent judgment with diplomacy and confidentiality
  • Ability to manage workflow priorities and multitask with strong organizational skills.
