Brock Doors & Windows is seeking a highly motivated
Project Coordinator to join our Team


Position Title:
Project Coordinator


Reports To:
Project Coordinator Team Lead


Under the general direction of the Project Coordinator Team Leader, the Project Coordinator is responsible for processing orders from the remeasure stage to the completion of service work.

The primary goal for a Project Coordinator is to coordinate installations between customers and installers and deliver best in class customer experience.

Complete orders with first time completions - requiring no return for product service issues.


Primary Responsibilities:


  • Front line for escalations and resolutions.
  • Add any and all notes and communication with Sales Representatives, Customers, and Installers into 'Notes & Attachments' in the ERP system (Lead Perfection)
  • Coordinate with remeasure to release jobs and review the remeasure and create labour bill
  • Submit files to purchasing department
  • Schedule job ETA + 10 days and collect additional 30% deposit from customer
  • Follow up 3 days before install to ensure product has arrived
  • Coordinate installation schedules between installer and customer keeping schedule in ERP (Lead Perfection) constantly updated and accurate
  • Call the customer the day before scheduled installation
  • Remain in constant contact with customer in regard to their project status and with any complications that may arise after orders have been sent to production.
  • Receive and distribute required paperwork to appropriate parties, ensuring the installer receives all details required to perform the job
  • Collect 40% of balance if Incomplete install and 50% if Complete install
  • Working with the Installations Supervisor if the job is incomplete
  • Balance installer invoice to job performed and submit to accounting for payment
  • Problem solve and seek appropriate resources when complications arise in an installation
  • Issue service tickets as necessary and ensure all required product parts are approved for reorder
  • Ensure status of project, including dates, is updated at task intervals
  • Issue balance credits as necessary and forward them to the Accounting Department for processing
  • Scan all required paperwork into the ER
