Description:
***The Patient Service Clerk provides administrative and clerical support including reception, maintaining databases (e.g. staff and assessment information), drafting routine correspondence, booking appointments, compiling statistics and handling key intake procedures for receiving families into CHEO's Neurodevelopmental Health programs.
RESPONSIBILITIES
- Greet employees and visitors to the department.
- Receive and process all referrals from families, physicians, community agencies, hospitals
- Process all completed assessment reports
- Registers new patients in the hospital medical records system (CADENCE & EPIC) and order medical charts as needed.
- Handle inquiries from the public i.e. program mandate, referral procedures, waiting lists etc.
- Contact families to schedule appointments
- Notify families of scheduling changes, upon request.
- Oversee bookings for assessment and therapy rooms to ensure efficiency
- Collect statistics as required
- Coordinate storage of files with external provider (boxes, records)
- Distribute materials, information, notices etc. to current and waiting list families
- Maintains inventory of stationary supplies and initiates orders as required
- Establish inventory of all equipment, supplies, furniture and maintain on a regular basis
- Explain financial reconciliation process to families and/or private providers
- Reconcile receipts (for assessment, therapy, report writing etc for behavior services provided) and inform families of status of funds and when they need to complete full reconciliation
- Provide assistance to families who require support managing receipts
- Liaise with Director/Manager for outstanding accounts (inappropriately reconciled funds)
- Liaise with the Finance Department when families have questions regarding cheque deposits, missing funds, cheque availability
- Supporting the distribution of program/policy communications
- Perform work in accordance with the provisions of the Occupational Health and Safety Act and
- Regulations and all CHEO corporate/departmental policies and procedures related to Occupational Health and Safety.
- Perform other duties as required by the Director or his/her delegate.
QUALIFICATIONS
- Criminal Record Check (Essential)
- Secondary School Graduation Diploma (Essential)
Bilingualism (English/French) (Essential):
- Approximately 6 months of related experience (Essential)
- Knowledge of computer software (Epic, Sunrise, Outlook) (Essential)
- Experience working in a clinical environment live on Epic Ambulatory (preferred)
- Experience in patient registration using Cadence (Epic) (preferred)
- Experience in creating, editing, scanning and scheduling referrals (preferred)
- Experience in managing order workqueues (preferred)
- Experience in patient check outs including follow ups and recall management (preferred)
- Experience using inbasket communication in Epic (preferred)
- Ability to ensure timely completion of tasks by adjusting priorities as required (Essential)
- Ability to adapt to changes to meet organizational requirements (Essential)
- Communicate effectively and concisely, both orally and in writing (Essential)
- Deal effectively with internal and external customers (Essential)
