Position Summary:


Under the supervision of the Environmental Health & Safety (EHS) Operations Manager and the EHS team, the incumbent will assist at various levels of the McGill Asbestos Management Program.

The individual will provide administrative, technical and office support.

This will include the maintenance of the University's Asbestos Registry, by doing daily data entries using various inhouse software programs and by helping in the weekly field work operations.

Participates in the smooth functioning of the unit's operations in various environmental and occupational health and safety programs and computerized information systems.

Assists in the organization and deployment of unit activities. Responsible for proper upkeep of documents and files from the unit.


Major Duties and Responsibilities:

  • Performs activities that support the Occupational Health Officer to ensure that fieldwork, data entry and corrective measures are carried out in accordance with occupational health and safety objectives.
  • Enters the survey results, observations, lab reports and photos gathered from the various field work projects.
  • Responds to calls and complaints related to asbestos matters and situations received from the McGill community.
  • Participates in workplace incident investigations office tasks related to renovation and construction projects.
  • Participates in ensuring the smooth functioning of the unit. Collaborates with supervisor and others in establishing work priorities. Follows up on and ensures appropriate implementation of decisions made by supervisor.
  • Assists in the preparation of training publications and promotional documents such as publicity brochures, departmental handbooks, and annual reports.
  • Enters data from field operations obtained from the EHS inspection team in various inhouse software programs.
  • Provides information to callers and visitors. Determines reason for call or visit and prepares necessary documents. Directs callers and visitors to appropriate resource persons. Assesses need for intervention of other resource persons and arranges appointments as necessary.
  • Uses a variety of software and maintains computerized information systems and participates in their development to improve efficiency within the unit.
  • Maintains and updates administrative files. Maintains filing systems and arranges for archiving.
  • Uses standard office equipment such as personal computer, photocopier, and fax machine.

  • Minimum Education and Experience:
  • DEP
  • Office Systems 4 Years Related Experience / DEP
  • Secretarial Studies

Hourly Salary:
(MUNACA Level F) $ $35.40
