With the transformation of services at Reena, the development of transportation and fleet management is essential to the provision of services for the Reena locations and individuals.

The Transportation & Fleet Supervisor is responsible to oversee Reena Transportation and Fleet Services. Collaborate with the Program team and other depts. to ensure the schedule and maintenance of all vehicles and the smooth operation of SMT.

The Transportation & Fleet Supervisor will work with the Manager with hiring, training, and communicating with staff, including schedulers, drivers and other transportation staff.

Key Responsibilities:


1. Program responsibilities/ Life skills

  • Oversee and supervise the entire Transportation system and Fleet Management for Reena Transportation Services
  • Supervise the process of booking, the confirmation of rides with locations & individual requests
  • Work with other departments & locations in Reena to help coordinate the distributions of vans
  • Work with other agencies to liaise and share information and problem solve ideas for individuals and transportation needs and services
  • Oversee the Coordination of deliveries for Reena's entire residential system
  • Problemsolve with the team to provide all transportation requests from Reena and community partners
  • Work with Procurement to develop a system for regular maintenance of the Van Fleet for both SMT and Reena Residential system
  • Develop and update Policies and Procedures for the Reena Transportation Services including Vehicle use and maintenance and driver training and other policies as needed.
  • Ensures that all Reena Policies and Procedures; including IPAC measures are followed by the Transportation Team
  • Other duties as assigned

2. Supervisory Responsibilities

  • Works as part of the supervisory team that ensures the effective continuous transportation operation for Reena's day and residential systems
  • Responsible for the interviewing and selection of staff within the transportation department
  • Provides location orientation to staff upon hire/transfer
  • Supervises staff both formally and informally on a regular basis
  • Provide formal & informal supervision of transportation staff/performance management and appraisals
  • Ensures staff complete all mandatory training and updates, within required timeframes;
  • Completes own mandatory training and updates
  • Acts as instructor for training courses for staff as required
  • Recommends workshops/courses to meet staff training needs/personal and professional goals
  • Conducts written performance appraisals for all staff, as required.
  • Implements progressive disciplinary action, in collaboration with Resource Manager/Designate where appropriate
  • Works in collaboration with transportation Team and other departments, as appropriate, to share information/ideas, problem solve & streamline procedures that impact on the system as a whole
  • Acts as a backup to DORR Supervisor(s) and respective CSG(s), as necessary
  • Performs On Call duties on a rotational basis, as scheduled; responds on a 24 hour basis to a person with a developmental disability, staff, property emergencies and ensures appropriate followup actions taken
  • Ensures that all relevant information/issues/serious occurrences are communicated to the Resource Manager/Designate; follows appropriate channels of communication
  • Schedules/chairs designated meetings, as required
  • Other duties as assigned

Administrative Responsibilities:


  • Work with the Transportation team to ensure that records of all drive requests that come in through the SMT booking system are tracked.
  • Work with the Transportation team to maintain the SMT dispatch excel sheet
  • Follow up to ensure that all transportation staff keep an organized system for all van logs
  • Ensure that all up to date paperwork and vehicle documentation is in vehicles
  • Maintain organization of all vans and PPE supplies
  • Completes reports/forms in a concise and coherent manner
  • Other duties as assigned

Skills, Knowledge and Expertise:


Qualifications Experience and Formal Education

  • 23 year College Diploma, preferably in Business, Logistics, Supply Chain Management or a related field
  • 23 years experience in a Supervisory Role, preferably in the automotive/transportation field
  • Must have a valid Ontario Class G driver's license and ability to get additional driver's licensing as required
  • Initial and annual clean driver's abstract required
  • Additional Class
