Career Opportunity:


  • We are looking for a Coordinator, Contracts & Quality Assurance in our Bus Maintenance and Shops Department within the Fleet Management section
  • Reporting to the Supervisor of Fleet Contract Administration, the Coordinator is responsible for coordinating, administering and managing the day to day activities associated with procurement documents. You will analyze and identify contract requirements, invoice management and ensure contract continuity. As the Coordinator, it is essential to manage contractors and relationships and ensure a high level of customer satisfaction for the Bus Maintenance and Shops Department.
  • The Coordinator, will also be responsible for developing criteria, auditing, monitoring, measuring and reporting contractor performance. This includes analyzing expectations and performance, identifying areas for improvement, performing inspections during contract activities to review quality of workmanship and ensuring contractor work meets the specifications and business requirements of the Bus Maintenance and Shops Department.

What You Will Do:


  • Communicate and network amongst departmental business structure resources
  • Manage, monitor and coordinate assigned contracts, meeting required deadlines, preparing and submitting contract documents, cost estimates and associated documentation to representing Bus Maintenance and Shops operational requirements
  • Interpret, analyze and evaluate Bus Maintenance and Shops operational requirements to completely define scope of work, work plan, specifications, appendices and other required documentation.
  • Liaise with Procurement and Category Management to ensure contract continuity to successfully complete professional and competitive alluring contract documents, which completely capture business needs and costs, assist with operational requirements during the tendering process and actively participate in required tasks to ensure successful ontime contract award
  • Complete supplementary documentation and participate in meetings as required.
  • Manage and coordinate contract implementation with complete information to contractors, suppliers and vendors to establish, maintain and manage positive relationships while actively communicating with contract usage customers, reporting feedback and identifying areas for improvement.
  • Conduct onsite visits to inspect and evaluate work performed to ensure contract requirements are successfully and consistently met, in addition to adherence to all TTC and legislated safety rules, regulations, policies.
  • Develop, design, prepare, test, report audit procedures and criteria
  • Develop and adhere to established processes to track, manage, perform data entry and maintain contract usage and costing.
  • Manages invoice receipt, review, and approve according to due dates; liaises with TTC Accounts Payable to ensure invoices are received, documented and processes are followed
  • Promptly evaluates, obtains complete information and prepares responses to accurately and professionally respond to departmental customers, contractors, suppliers and vendors contractual and operational enquiries
  • Contribute to projects, reports, documents, notes, correspondence, meetings, and/or updates relating to contracts, procurement, contract administration and management, invoice management, quality control and quality assurance.
