KLS Earthworks & Environmental is hiring a
Project Administrator for a
summer student position.

We are specifically targeting CET students or recent graduates from SAIT who are ambitious and ready to dig in and learn.


Reporting to the Project Manager, the Project Administrator will play a crucial role in providing organizational support to the Project Management Team.


Responsibilities:


  • Acquire and maintain a thorough understanding of the project scope, execution plans, and project specifications, including all plan changes.
  • Assist the Project Managers and Coordinators in developing, maintaining, and communicating the project schedule.
  • Under the direction of the Project Manager, create and maintain comprehensive project documentation, plans, and reports.
  • Oversee project procurement management.
  • Collaborate with Project Supervisors to determine resource requirements for projects.
  • Issue and manage subcontracts and purchase orders, including reviewing all vendor invoices for accuracy.
  • Develop and maintain excellent working relationships with subcontractors and clients.
  • Manage the Request for Information (RFI), shop drawing, and change order process, including pricing, negotiating, processing, and assessing cost and schedule impact.
  • Monitor project progress and provide cost forecast and schedule information to the Project Manager.
  • Compile and track quantities and costs throughout the project.
  • Reconcile time and materials work and request change orders as required.
  • Assist in creating progress invoices for clients and resolving quantity discrepancies that may arise.
  • Participate in all facets of project closeout, including archiving documents, maintenance and warranty manuals, deficiencies, and warranty work.

Skills:


  • Proven work experience as a Project Administrator or in a similar role.
  • Administration and costing experience is an asset.
  • Strong knowledge of Microsoft Project and other Microsoft Office software.
  • Experience with Heavy Jobs is a plus.
  • Ability to interpret contracts, construction drawings, and reports.
  • Solid organizational and teamwork skills.
