Working for the Dean of Students (DoS) Proctoring Services


DoS Proctoring Services works closely with faculty and other student-facing services to ensure students' access to exam accommodations within a secure and monitored exam environment.

DoS Proctoring Services exists within the Accessibility and Accommodations pillar of the Academic Success Centre.

Our broader mission is to ensure the University of Alberta fulfills its Duty to Accommodate, enabling all students to participate equitably in course exams.


Position


Supporting the Academic Success Centre, the Proctoring Services Assistant (PSA) reports to the Proctoring Services Team Lead and administers course exam (including quizzes, tests, midterms, and finals) accommodations for students with approved exam accommodations.

The PSA adheres to DoS Proctoring Services Policies and Procedures and University of Alberta Regulations to ensure compliance.


As the first point of contact for both instructors and students, the position involves complex coordination and constant communication regarding accommodated exam administration.

Coordinating thousands of exams requires attention to multiple schedules, location characteristics, accommodation specifications, service provider work flows and exam digital technology in addition to UofA exam regulations.

This includes communicating with instructors in order to resolve exam conflicts and complications. Additionally, the PSA is responsible for responding to and de-escalating any disruptive behaviours that may arise.


Duties

  • Triages Proctoring Services inquiries and responds to or refers to appropriate staff members.
  • Assists with onboarding, training and scheduling of DoS Proctoring Services staff.
  • Updates missing or incorrect information in student exam schedules in ClockWork as requested by students, instructors, or ASC staff.
  • Generates daily reports (schedules, room usage charts, furniture and accommodation lists, etc.) from ClockWork.
  • Welcomes and provides help to students, faculty, and other stakeholders who visit the Proctoring Services Centre.

Minimum Qualifications

  • A minimum of a high school diploma is required; however, preference is given to those with an undergraduate degree/office administration training
  • Excellent interpersonal, oral and written English communication skills
  • Superior customer service skills
  • Attention to detail is crucial, especially with multilevel detail
  • Previous experience working with persons with disabilities

Preferred Qualifications

  • The ability to learn new systems is preferred, with ClockWork knowledge being an asset
  • Experience in deescalating highstress situations is beneficial
  • Knowledge of crisis management and suicide intervention is an asset
  • Fluency in American Sign Language and other languages is an asset
  • Related administrative experience with excellent organizational, flexibility and time management skills; experience at the University of Alberta preferred
