Oak Medical Arts is looking for an energetic and passionate
Clinic Manager to provide support of daily clinic operations and providers, all aspects of business management, site and team leadership, and to strive for ongoing growth and innovation.

As a growing, innovative healthcare company, we are in the "business" of providing exceptional care to patients.

Oak has built an incredible team of pharmacists, chiropractors, social workers, nurses and in growth and development, we need strong management and leadership to drive each site to excel.

We have incredible teams of providers and clinic staff, and are looking to continue to grow as a locally owned business in Thunder Bay, and continue to offer more to our community.

We are looking for a driven and passionate clinic manager to support operations, facilitate business management and offer "365 leadership" (leadership every day of the year)


Key Qualifications

  • Interest and passion for helping clients managing addiction, active recovery, and providing case management support
  • Successfully blend practice, management and leadership into daily tasks
  • A growth mindset to allow the business and practices to continue to grow and develop, innovative and novel ideas, and the ability to build new programs and services from the ground up
  • Basic understanding of business management (i.e. accounting, human resources, marketing)
  • Strong ability to work as a team with other managers, administrative team members, healthcare providers and directors

Roles and Responsibilities:


Clinic Operations [40% of Role]

  • Develop professional rapport and working relationships with patients
  • Provide exceptional customer service
  • Provide excellent and prompt support to our various healthcare providers
  • Quality assurance in all clinic tasks and interactions
  • Ensure positive, memorable and exceptional experience for each client, patient or customer
  • Maintain cleanliness and site optics
  • Maintain proper inventory and supplies to support all clinic functions and provider needs
  • Adhere to Oak Medical Arts Policies and Procedures
  • Maintains confidentiality of client and corporate information
  • Act as key liaison between Director, site administrators and clinical staff
  • Manage and supervise staff, including overseeing training, supervision and performance evaluation
  • Coach and mentor all site administrative staff
  • Meet regularly with Director to evaluate performance across the sites
  • Delegate and provide oversight of corporate activities, including but not limited to: website, intranet, marketing, health & safety, volunteers, purchasing + software systems
  • Meet regularly with division coordinators
  • Uphold all values of Oak Medical Arts


Plain Language - Running and operating the clinic operations as a "rockstar leader", incorporating scope of practice into the day to day operations, while leading and managing your team.

Time management and delegation will be very important for success.


Social Work Practice [50% of Role]

  • Provide service to patients through traditional inperson assessments, telemedicine (clinic to clinic) and virtually (clinic to patient home).
  • Assess patient strengths and needs.
  • Develop treatment plans, set goals and connect patients to community supports.
  • Help clients adjust to changes and challenges in their lives, such as addiction, stress management, relationships, etc.
  • Complete appropriate referrals/offer information and education about other Oak Medical Health professionals, services and community supports.
  • Opportunity to provide Psychotherapy including various counselling services i.e; individual/family/couples counselling, support groups, grief and loss counselling, conflict resolution, stress and anxiety management, etc.
  • Maintain routine follow up with clients receiving services.
  • Participate in continuing competency education/training.
  • Provide crisis intervention; respond to crisis situations such as child abuse and mental health emergencies.
  • Obtain professional liability insurance.
  • Maintain patient medical records (using Oak Medical Arts electronic medical record).
  • Documentation of medical appointments in JaneApp EMR system.
  • Documentation as per regulatory college requirements.
  • Complete other tasks as requested.

Business Management [10% of Role]
Accounting and Legal

  • Work with accounting team for management of monthly and yearly financial accounting (statements, submissions)
