MANA is seeking a _Full-Time Maintenance Administrative Coordinator _to join our growing team.

Job purpose
This position is responsible for providing administrative support to the Maintenance Department.

Working closely with Maintenance Supervisors and Skilled Trades Employees consistent with established policies, regulations, standards of efficiency, employee relations, quality and safety.


Duties and responsibilities:


  • Provide administrative support to the Maintenance Department;
  • Organizes submitted work orders and develops a daily schedule for manpower in to a Job List to be given out by the Supervisors.
  • Generate shift rotation and vacation schedules.
  • Responsible for all department documentation and postings.
  • Manages the Preventative Maintenance schedule by generating weekly PM work order documentation.
  • Prepare weekly and monthly maintenance reports as requested.
  • Administrator for the Maintenance MS Excel/Access data.
  • Ensures that parts ordered are available for work orders, keeping up to date with Procurement on arrival of parts or any delays.
  • Coordinates Contractor Group schedules contractors as requested, communicates via Outlook the schedule arrivals, sign in/sign out, ensures orientation is completed, MANA policy/safety requirements are followed and ensures overall quality of work.
  • Supports maintenance supervisors with administrative tasks and Payworks entry/approvals.
  • Work in collaboration with various departments including, contractors, shipping, mill operations, and upper management to ensure departmental goals are being met and are aligned with the overall goals and objectives of the organization.
  • Minimum Grade 12 diploma Prefer a College level certification in Office Administration or equivalent.
  • Must have 510 years of related experience within a similar department.
  • Must be a selfstarter.
  • Excellent computer skills are required (MS Excel and Access database knowledge).
  • Attention to detail.
  • Must possess excellent organizational and communication skills.
  • Basic knowledge or be familiar with ISO/ IATF procedures.
  • Works safely, and recognizes the need to keep others safe, at all times.
  • Communicates clearly and respectfully.
